Job Description   SRO Housing Corporation Administrative Assistant

POSITION:    Executive Administrative Assistant

REPORTS TO:  CEO/President

POSITION PURPOSE

We are seeking an Executive Administrative Assistant  for the Chief Executive Officer/President who is passionate about helping us reach our objectives.  The ideal candidate will have experience supporting a nonprofit CEO/President. The natural ability to organize and prioritize daily tasks with minimal direction is critical in this position. Excellent communication and client service skills are a must. We are seeking someone who adheres to the highest ethical standards, possesses impeccable attention to detail and exhibits an exceptionally professional manner. We are searching for a person who genuinely desires to help others, takes pride in their quality of work and also has the ability to multi-task and solve problems. 

ESSENTIAL FUNCTIONS

  • Provide administrative support to the CEO
  • Assist with Board of Directors meeting preparations and minutes
  • Provide customer service support to tenants and vendors
  • Regular interaction with executives, business professionals, politicians and the homeless
  • Calendar executive meetings
  • Setup and maintain a filing and tracking system for administrative records within Department
  • Answer and return phone calls, screen and route calls, or take messages, as appropriate
  • Type and/or compose letters, memoranda and other correspondence. Proofread, edit, format and make appropriate modifications to documents
  • Process incoming and outgoing mail, prepare mailings, arrange for deliveries by messenger, courier, Federal Express or UPS
  • Perform appropriate data-entry and compile/compose statistical reports and graphs
  • Maintain a sufficient stock of forms, files and office supplies
  • Maintain confidentiality
  • Perform other duties as assigned

HEALTH REQUIREMENTS

Must undergo a physical examination and drug-screening test at time of employment.

SPECIAL REQUIREMENTS

Must undergo a background screening which will include verification of education,

previous work experience and criminal background check.

Job Requirements

Filing systems; administrative workflow procedures; modern office systemscorrect English usage; working knowledge of homeless-related issues and concerns.

       Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

A.  Education

Applicable college degree preferred; one to two years comparable clerical/administrative experience in a nonprofit environment preferred; awareness of and sensitivity to cultural issues as they pertain to homeless clients with special needs.

Computer Skills: General computer and data systems knowledge and understanding; this position requires daily use of a personal computer and requires entering, viewing and revising text and graphics on the computer.  Working Knowledge of Yardi Voyager, Excel, MS Word, MS Outlook, Power Point, and database software.

B.  Experience

Minimum of three to four years successful Executive administrative support experience -  preferably in a nonprofit environment;

C.  Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

D.  Certificates, License, Registrations

Valid California Driver License and proof of liability insurance.

   

E.  Physical Demands

This is primarily a sedentary office position that requires only occasional bending, reaching, stooping, lifting and moving of office materials weighing 25 pounds or less. The position requires daily use of a personal computer and requires entering, viewing and revising text and graphics on the computer terminal and on paper.
