The Senior Payroll Specialist processes bi-weekly payroll for 700+ employees and works closely with the Payroll Manager to promote and support various payroll processes.
Essential Duties and Responsibilities:
§ Payroll - Process bi-weekly payroll responsibilities, including:
o Responsible for overall management of UltiPro payroll system.
o Coordinate payroll processes with the Human Resources team.
o Manage UltiPro Time Management system and support employees and managers using the system by planning, training, resolving issues, and monitoring activity/user behavior for best practices.
o Monitor federal and state tax withholding information and direct deposit data provided by employees.
o Review payroll preview and process payroll run.
o Process bi-weekly 401(k) payroll-related activities as well as review and reperform company match calculations.
o Register for employer tax accounts for state and local withholding and unemployment accounts.
o Generate ad-hoc payroll reports.
o Respond to all payroll-related correspondence and resolve in a timely manner.
o Provide customer service to employees in areas that relate to their pay, benefits, and taxes.
o Prepare journal entries pertaining to all payrolls and commissions, as well as stock, funding, and 401k entries.
o Complete account reconciliations related to the payroll department.
o Audit bi-weekly payroll and provide audit support for internal and external auditors; external audits may include functions such as 401k and Workers Compensation.
o Answer payroll questions for the monthly financial review meeting.
Knowledge, Skills and Abilities
§ Extensive experience with UltiPro system and related processes preferred.
§ Excellent communication skills, professional presentation, and keen attention to details.
§ Discretion in dealing with highly sensitive and confidential information.
§ Strong and independent problem-solving skills.
§ Ability to team well with others to solve payroll questions and support the Payroll Department.
§ Comprehensive knowledge of Microsoft Office, with extensive use of Excel.
§ Demonstrated ability to multi-task.
§ Willingness to identify improvements to existing processes and work creatively with the Payroll Manager to manage personnel growth needs.
