Job Summary:
Provides administrative support to the Director of Special Services and Officer Development for the Adult Rehabilitation Centers’ Command. Manages and oversees the administrative functions of the office to ensure effective and timely workflow processes. Acts as information expert on all administrative functions of the office in order to relieve the Director of Special Services/Officer Development of administrative details and tasking of the office. Performs advanced, complex, and often confidential administrative office work with a broad scope of responsibilities. Manages communication in and out of the department. Coordinates information and arrangements for, events, meetings, seminars, etc.
Assists the ARC Command ETO Administrator in managing the Efforts To Outcome and National Statistics Summary databases. Provides statistical reporting data, as directed, for case management, outcomes, trends, benchmarking and other analytical data related to the Adult Rehabilitation Center’s program and beneficiaries. Supports end-users of the same to provide technical and administrative support ensuring data integrity of ETO and NSS database systems.
Coordinates and processes a wide range of administrative responsibilities associated with the preparation and administration of ARC Command conferences, councils, seminars, and special meetings; prepares and processes forms, invitations, schedules, assignments, travel, lodging, and meeting room arrangements; develops and prepares correspondence, reports, programs, booklets, pamphlets, and hand-outs.
Knowledge, Skills and Abilities:
Knowledgeable of general office practices and procedures. Knowledge of effective and efficient recordkeeping practices and procedures. Knowledgeable and proficient in all Microsoft Office programs. Knowledge of the English language including proper grammar and punctuation. Knowledge of basic mathematics. Knowledge of the principles and practices particular to the department's administration.
Ability to interpret data from the ETO & National Statistical Databases. Ability to determine the most effective and efficient method to accomplish work objectives and goals. Ability to maintain an efficient and organized electronic and manual filing system to ensure that items can be retrieved in a timely manner. Ability to effectively communicate in writing and verbally with a variety of personalities and individuals at all levels of the organizational chart. Ability to follow instructions, plan and organize all work, as well as possess, the ability to work under limited supervision. Ability to maintain the confidential nature of the work. Ability to ensure compliance with departmental policies and procedures.
Education and Experience:
Bachelors’ degree from an accredited college or university in business administration or related field, and five years with progressive responsibility/experience performing administrative work in a general office environment, with three years’ experience similar work for executive leadership, or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
Certifications:
Valid State Driver’s License.
Physical Requirements and Working Conditions:
Ability to meet attendance requirements. Ability to read, write, and communicate the English language. Ability to type and keypunch information into a computer. Ability to sort and file documents alphabetically and numerically. Ability to operate general office equipment including a telephone, typewriter, computer and adding machine. Limited amount of physical effort required associated with walking, standing, lifting, twisting, bending, reaching and carrying light objects (less than 25 lbs.) 10%-20% of work time. Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking.
