We are currently looking for a Human Resources/Training Assistant who is ready to make a difference in the lives of others and help Sierra Vista Child & Family Services continue our commitment to caring!

As a Human Resources/Training Assistant in our Human Resources department, you will be working in a professional work environment providing excellent customer service while maintaining a high level of confidentiality. The ideal candidate will have the ability to multi-task, meet strict deadlines, focus on competing priorities, and be a self-starter. This is a high volume position that requires extreme levels of attention to detail and follow-up.

Here are a few of the attributes that will make you successful in this position.

Human Resources

  1. Greet & assist employees and visitors, answer phones, take messages and direct to appropriate personnel.
  2. Distribute monthly performance assessment reports to leadership.
  3. Work with insurance broker on Motor Vehicle Record (MVR) reports annually. Manage the DMV Pull Notice system. Inform Human Resources Supervisor and/or Director of any violations or negative information received on an employee’s driving record.
  4. Set up and maintain employee, intern, volunteer and contract personnel files.
  5. Be responsible for conducting file audits and preparation for agency audits and recertifications, such as financial audits, Non-Public School recertifications and Community Care Licensing (CCL) audits.
  6. Audits and maintains records for compliance, such as licenses, credentials, TBs and Joint Commission requirements.
  7. Prepare board packets monthly and worker’s comp reports as needed.
  8. Open, stamp, distribute and/or handle department mail.
  9. Provide assistance with various aspects of recruitment.
  10. Set up and properly maintain department records-files, binders, and databases.
  11. Support H/R staff as needed.
  12. Word processing of correspondence and other documents.
  13. Perform data entry, including personnel actions processing, excel spreadsheets, and various Human Resource Information System (HRIS) databases.
  14. Ensures the accurate completion of routine forms and correspondence.
  15. Attend monthly Safety Committee meeting and send out monthly Safety Tip emails.
  16. Notification to staff of upcoming retirement plan enrollment/change meeting and coordinate meeting times. Enter retirement plan enrollments and changes in the HRIS.
  17. Conduct Live Scan fingerprinting for Foster Care parents. Back up to the HR Generalists for completing Live Scans of employees, interns, volunteers and contract staff.
  18. Ensures office is adequately supplied with forms, office supplies, etc.
  19. Report any suspected child abuse immediately to direct supervisor or if not available up the chain of command.
  20. Report any suspected dependent adult/elder abuse immediately to direct supervisor or if not available up the chain of command. 


  1. Prepare training schedule for new hires and interns.
  2. Assist in the coordination of training requirements under American Health & Safety Institute (ASHI) and Emergency Medical Services Authority (EMSA).
  3. Act as a main contact with Behavioral Health Rehabilitation Services (BHRS) to ensure compliance of the trainings facilitated by BHRS.
  4. Coordinate, schedule and prepare (ex. Picking up/delivering food and supplies) as needed for agency and community trainings. Trainings include but are not limited to New Employee Orientation, Medic First Aid and Therapeutic Crisis Intervention (TCI).
  5. Manage the agency’s on-line training system, which includes creating new hire profiles in the system as needed and removing ex-employees. Work closely with the programs to understand, identify and set-up their program training needs on-line. Follow up for certificates of completion as needed.
  6. Participation in the Training Committee meeting as needed.  
  7. In regards to out-of-agency trainings, track and ensure training approval, coordinate training accommodations and registrations and follow up for certificates of completion.
  8. Send out training announcements to SVCFS employees as approved by the Clinical Director.
  9. Track trainings attended by employees in the HRIS, as well as setting up courses in the system, running reports as needed and ensuring that employees are meeting the necessary training requirements.
  10. Maintain a supply of training materials to meet training needs of trainers.


  1. Attend staff meetings and trainings as requested.
  2. Back up for receptionist phone coverage as needed.
  3. Back up of the mail run rotation as needed.
  4. Everyone who works in the organization has responsibilities for preventing and controlling infection.
  5. Performs other duties as assigned

Some of the essential job functions will include:

  1. Must be proficient with Microsoft Excel and Word programs, and have the ability to learn new software programs.
  2. Must possess good judgment and a high degree of urgency and follow through.
  3. Strong organization skills, attention to details and strives for quality.
  4. Must be results driven and goal oriented.
  5. Strong communication skills, ability to work with multiple levels (entry level to upper management)
  6. Ability to work efficiently, handles multiple tasks, and meets deadlines.
  7. Physical, mental and emotional health adequate to perform duties.
  8. Demonstrated the ability to work in highly confidential position and maintain the confidentiality of agency business.
  9. Detail oriented with the ability to understand the significance of department consistency and knowledge.
  10. Demonstrated ability to maintain professional boundaries and work harmoniously with others.
  11. Ability to manage Human Resources records.
  12. Ability to operate a multi-phone system and communicate in a positive and professional manner. 

Job Requirements


  1. High school diploma with additional clerical/secretarial course work and training.
  2. Two years of previous Human Resources experience required.

  3. Strong computer skills with heavy emphasis on data entry.
  4. Professional appearance and demeanor.
  5. Must possess good judgment and a high degree of urgency and follow through.
  6. Excellent customer service, business phone experience and communication skills.
  7. Must possess a valid California driver’s license with less than 2 minor moving violations.
