Job Description

Quick growing Insurance Agency seeking an experienced Executive Assistant to provide administrative support to the President. Position is part-time, approximately 3 days per week, with 15-20 hours per week to start. Ideal Executive Assistant candidate will have experience providing administrative support to executive level management in a fast-paced environment. The Executive Assistant will serve as the first point of contact for all correspondence including mail, email and phone calls. The Executive Assistant will also be responsible for calendar management, travel arrangements, project management, and business-related operations duties when necessary. Must be self-motivated and organized, with the ability to easily adapt to change and work independently on projects. Works independently performing a wide range of complex and confidential administrative and clerical support duties. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts.

Responsibilities:

  • Provides a wide range of complex office administration and support including email correspondence, document and contract management & phone reception for President.
  • Serves as principal administrative contact and liaison with all company leadership and external contacts, including insurance carriers and vendors.
  • Project based document creation and document management including composing and editing letters, memos, reports and presentations. Prepares copy for publications and/or reports.
  • Partner and collaborate with department managers to support necessary initiatives, meetings, or projects.
  • Assists with development, implementation and administration of departmental office systems and procedures. Aids in establishment of office procedures, policies and operations.
  • Create and distribute communications to staff at request of the President
  • Reviews, assesses, routes, answers and monitors follow up action steps on correspondence. Gathers and analyzes information required for administrative reporting.
  • Open, sort and distribute incoming correspondence, including mail, email and faxes.
  • Liaison for various meetings and responsible for distribution of the meeting materials and decisions/actions as appropriate.
  • Assist President with general business duties such as bank deposits/pick-ups, ordering office supplies and business-related errands.
  • Manages complex calendars, arranges for meetings, appointments and travel arrangements.
  • Maintenance of agency resident and non-resident licensing and appointments

Job Requirements

  • 5+ years experience providing Executive Administrative support (REQUIRED)
  • Bachelor’s Degree (REQUIRED)
  • Expert knowledge of MS Word & Excel (Knowledge of Pivot Tables & V Look-ups)
  • Must type 50+WPM
  • Must possess strong organizational skills with the ability to prioritize, problem solve, and multitask
  • Must be a self-starter who can work independently in a fast-paced environment
