Job Description

CONTROLLER/BOOKKEEPER – Commercial Construction Accounting for General Contractor in Bergen (NJ).  Must have Construction Accounting related experience.  This position requires considerable knowledge of basic accounting principles and accounting functions.  General accounting including A/R, A/P, G/L posting, payroll, job costing, bank reconciliations, month-end closing.  Process A/R and understand the construction billing and collections process.  Responsible for Construction A/R tracking, management and reporting.  Reconciliation of Vendor statements and Customer payments.  Process contractor’s payment applications for monthly billings.  Interface with Project Managers and Senior Management on all aspects of construction accounting.  Must have excellent organizational skills.  Ability to accurately work under pressure in meeting deadlines.  Proficiency with Word and Excel.  SAGE 300 CRE EXPERIENCE IS REQUIRED.  Accounting related degree preferred.  Experience may be considered as a substitute for this requirement.

  • Set up new projects and monitor the status of existing projects in the accounting system-

  • Effectively communicate with Project Managers regarding contract documents, change orders, valid Certificates of Insurance and other contract modification, approvals, and any additional service-related to billing.

  • Compile, analyze, & process a high volume of project bills to clients on a monthly basis.

  • Work closely with project managers to ensure that invoices are accurate and comply with corporate guidelines.

  • Review weekly timesheets to ensure that they have been submitted and approved prior to payroll input.

  • Maintain project billing folder and accounting system to ensure all invoices and other project related documents are readily accessible for project managers & accounting department.

  • Communicate professionally with project managers, clients and other staff providing accurate information and timely responds to inquiries and completion of assignments.

  • Investigate billing errors and resolve discrepancies.

  • Assist with special projects as needed.

  • Prepare various monthly billing & supporting reports (AIA Form G702, G703 and Lien Waivers).

  • Reviews and ensures accuracy of vendor invoices

  • Ensure all projects are properly job costed and provide assistance to the PM Team to facilitate proper job cost reporting. 

  • Prepare quarterly Financial Statements including WIP Schedule.

  • Prepare monthly AIA package for Bonding Company.

  • Prepare weekly AP check run.

  • Reconciles all bank accounts, cash management and bank transfers.

  • Posts intercompany job cost items.

  • Generates custom accounting reports as necessary.

  • Maintains accounts receivable aging.

  • Provides monthly work in progress reports & associated reports.

  • Oversee sales and use taxes.

  • Posts general ledger journal entries.

  • Prepares financial information to assist external CPA in preparation of year-end financial statements.

  • Reconciles job cost data with estimated budgets.

  • Organizes all financial and insurance records.  Prepare annual insurance audits, General Liability, Workers Compensation.  Coordinate annual renewal of policies with Insurance Broker.

Job Requirements

AIA experience REQUIRED.

Must have at least (2) years experience in SAGE 300 CRE.

Maintain office equipment (fax, copiers, supplies, postage machine).

Excellent analytical and problem solving skills.

Strong written and verbal communication skills.

Must be proficient in Microsoft Office (Excel and Word) and Outlook.

Strong attention to detail is required. Self-starter.

Must be extremely organized and task oriented.

Associates or Bachelors degree in Accounting/Finance or similar field.

Salary commensurate with experience.
