Position Summary

This key member of the HR team will primarily provide support to the recruitment function, but will assist in other areas of Human Resources, as needed.  The HR Coordinator is responsible for providing administrative support to NDCP Recruiters with tasks related to scheduling interviews, coordinating pre-employment paperwork and offer letters, supporting staffing initiatives, and supporting high volume recruiting overflow. The HR Coordinator will support recruiters and ensure the new hire process is completed per Company procedure.


  • Place job advertisements on job boards and track recruiting expenses.
  • Manage the recruiting phone line and inbox.
  • Schedule interviews with candidates, send confirmation emails, and post-interview follow-up communication.
  • Make travel arrangements.
  • Proactively monitor interview acceptances/declines/delegations to ensure seamless candidate experience.
  • Manage and resolve last minute logistical issues by owning the scheduling process.
  • Follow up with candidates and hiring managers to ensure updated information on the interview process status. 
  • Work closely with the Safety Coordinator, providing information needed to qualify drivers.
  • Provide weekly updates and reports on staffing efforts and candidate status.
  • Coordinate background check/drug screening/HPE, and pre-employment physical.
  • Report results of pre-employment assessments to the appropriate Recruiter.
  • Draft offer letters.
  • Assist with scheduling and set up responsibilities related to New Hire Orientation. Prepare new hire packages.
  • Partner with HR Representative to perform e-Verify on new hires.
  • Handle other administrative aspects of the hiring process.
  • Manage logistical support for offsite recruiting events, as well as occasional special events and independent projects.
  • Provide continuous customer service support for candidate inquiries and/or troubleshooting associated with the submission of application.
  • Assist with other HR administrative functions (i.e., benefits, worker’s compensation, receptionist coverage.)
  • Update candidate status in ATS and other systems
  • Coordinate compliance with state drug screen laws

Supervision Exercised:

This position has no direct supervisory responsibilities.

  • Associate’s degree preferred.
  • Minimum of 2 years of professional work experience in a fast-paced, deadline driven environment. Experience in an HR-related strongly desired.
  • Experience working with both HRIS and applicant tracking systems desired.
  • Proficiency in Microsoft Office, including Word, Excel and PowerPoint required.
  • Professional interpersonal skills and the ability to consistently manage sensitive and confidential situations / materials in a confidential and legally compliant manner.
  • Professional and effective written and oral communication skills mandatory. Ability to effectively communicate with all levels of employees and outside vendors.
  • Ability to juggle competing priorities and organize work in a manner that ensures the timely completion of work within established deadlines.
  • Ability and willingness to work a reasonable amount of overtime, as needed, to successfully perform assigned tasks.
  • Exceptional organizational skills and attention to detail required.

Physical Demands:

  • Ability to sit for extended periods of time.
  • Ability to operate a computer key board and to view a computer screen for extended periods of time.
  • Ability to lift, tug, pull up to fifteen (15) pounds.
