Job Description

Pro Med HealthCare Services is currently recruiting for an experienced Practice Manager for the following full time opportunity.

Setting:  Medical Clinic

 Hours:  Standard 40 hour work week

 General Summary:
 
The Practice Manager provides leadership and supervision of the daily operations of assigned medical practice(s).  Plans, designs, implements and maintains programs, policies, and management systems of the overall operations. Leads a multi-disciplinary care team and is responsible for the supervision and performance of such team. Reports to the Operations Director.

Essential Job Sumctions:


Clinic Operations - Provides leadership and oversight for the development, integration, coordination and ongoing support for the delivery of health services in an integrated fashion through the management, direction and supervision of the clinic. Operations may include human resources, policies and procedures, finance and budgeting, purchasing/materials management, legal/risk management, property management, customer service, billing and central business office functions, and information systems (IS).

Clinic Staffing - Responsible for the development, integration, coordination and ongoing support for the quality of clinic staff through effective screening processes, innovative training programs, and maintenance of customer services standards.  Responsible for staff in all areas of the clinic.

Responsible for expense management of all assigned practice locations and investigating and analyzing new revenue enhancing opportunities.

Developing, recommending, and managing capital and operational budgets in support of strategic plans.

Maintaining a system of management reporting that provides the Clinic system with timely and relevant information in all areas of responsibility.

Developing, monitoring, and responding to a full range of financial, patient experience, and quality indicators in all areas of responsibilities.

Assuring clinic staff compliance with CLIA, OSHA and BPN Policies and Procedures.

 Partners with staff and physicians to resolve issues, decrease expenses, increase productivity and promote efficiency.

 Responsible for compliance of the practice management and electronic medical records systems processes and procedures. Maintaining accurate and timely data input to comply with facility standards.

Responsible for assuring appropriate management practices, maintenance of appropriate staffing levels, competency assessment, staff orientation, ongoing education and development in all areas of responsibility.

Responsible for personnel actions such as problem solving, performance issues, hiring, firing and disciplinary actions.

Responsible for management of financial aspects of daily clinic operations which may include: coding, cash control and deposits, charge entry, financial reporting, petty cash and Central Business Office communications.

Prepares, presents and conducts required physician and/or staff meetings efficiently and effectively for identified actions and productive outcomes.


Responsible for maintenance of physical facilities, changes, moves and/or improvements as appropriate for safe, efficient and effective clinic operations.

Interviews, hires, trains and schedules employees; monitors API system for accuracy of worked hours and excessive overtime.


Maintains effective supply chain practices within assigned clinic(s). Recommends opportunities for increased efficiencies. Collaborates with other facility leaders to contribute to and lead other initiatives as assigned.

Job Requirements

Knowledge, Skills, and Abilities:

Knowledge of clinic operations.
Knowledge of applicable laws, regulations, guidelines and professional standards.
Knowledge of computer hardware equipment and software applications relevant to work functions.
Ability to communicate effectively both orally and in writing.
Ability to demonstrate skills in change management.
Ability to supervise, provide instruction and evaluate the work of subordinate patient care and non-patient care staff.
Ability to maintain confidentiality of patient information.
Ability to exercise courtesy, tact and professionalism.
Ability to prioritize and balance diverse management and clinical responsibilities.
Ability to establish and maintain effective working relationships with all staff, physicians and diverse patient populations.  
Ability to lead by example and resolve issues in a timely and professional manner.  

 

Minimum Qualifications:

A minimum of three years’ experience in a healthcare related field

Minimum of two years’ management experience.

Proficient with clinical operations is a healthcare setting.

 

Ability to establish and maintain effective working relationships with all staff, physicians and diverse patient populations.
