Job Description:


Oversee all aspects of the Mail Room Operations by supervising staff, organizing, and monitoring work flow and schedules.

  • Provides consistent managerial leadership and administrative direction necessary for the successful and on-time delivery of all client deliverables. Provides consistent coaching to team on ways to achieve goal of zero defects utilizing the most efficient fiscal, technological and operational methods available. Primary interface with other department heads (i.e.: Client Services, Digital Print. Fulfillment, USPS, Purchasing, Warehouse, and Programming departments) to ensure communication lines remain consistent and all issues are addressed and prioritized within the groups.
  • Manages Mail Center staff which includes establishing shift schedules and overtime management, performance management and employee development.
  • Prepares daily production schedule via internal ERP system to ensure all staff members have sufficient workloads and are efficiently fulfilling jobs at a consistent rate to meet client service level agreements.

  • Responsible to ensure that all staff members are entering their jobs to consistently and correctly record labor time utilized and reconciled #’s for all jobs.

  • Manages all communications to ensure your departments USPS postage requirements are available on a daily basis to meet your clients mailings accordingly.

  • Report to management all programmatic issues that affect the efficient fulfillment of jobs in order to have the software corrected for next run.
  • Coaches all relevant employees in all areas of responsibilities as required for development and company policies.
  • Establishes a training program for new hires and ensure that new hires are trained.

  • Develop a cross training program to train employees in all relevant areas of the department and other departments where applicable , i.e: inserting, sorting, etc.

  • Analyzes workflow, recommends and implements technological solutions and alternatives to improve workflow.

  • Produces reports communicating process or programming issues for prioritization and resolution.
