Talis Group’s client is a successful full-service HR consulting firm partnering with Fortune 500 clients in the manufacturing industry to develop state-of-the-art HR services, solutions and continuous improvement. Company is looking for a talented Office Coordinator to join their Lexington, KY team. The Office Coordinator will have responsibility for managing and executing billing and related matters for the firm.The Office Coordinator will also support the company's Consultants with various projects, including development of training materials and drafting of complex documents and reports, and will assist staff with all office-related matters, including working with the Information Technology Department on computer equipment/technology issues.Competitive salary in the $37,500 - $40,000 range with a generous full-range employee benefits program. Offer is pending an acceptable criminal background check.
Office Coordinator Highlighted Duties:
Prepare, edit, finalize, and distribute monthly invoices in compliance with all firm and client billing guidelines and in coordination with Executive Directors.
Track and research unapplied credit and trust balances monthly and work with Executive Directors to apply to invoices or request refund checks as appropriate.
Access and update e-billing vendor sites for clients.
Provide general clerical/administrative support including answering phones, data entry, mailing, scanning, and copying.
Coordinate matters related to billing, including Consultant time entry, expense reports, accounts receivable, and accounts payable.
Prepare and modify PowerPoint presentations at the direction of Consultants.
Maintain electronic and hard copy filing system pursuant to firm guidelines.
Schedule and coordinate meetings, appointments, and travel arrangements for Consultants, as needed.
High School diploma required (college degree preferred).
2-5 years of experience in billing or bookkeeping (Experience with billing software strongly preferred).
Excellent oral, written, listening, presentation, influence, and interpersonal skills, maintaining company confidentiality.
Proven professional administrative or assistant experience.
Ability to work under pressure and multi-task in a fast-paced environment, and to effectively prioritize.
Extensive experience working in a professional team-oriented, collaborative environment.
Excellent Microsoft Office software skills (Word, Excel and PowerPoint 2013).
