The Administrative Specialist for the accounting department provides general and specialized support services for corporate and field staff and management. The Specialist also provides data entry support; assists with large document preparation; maintains contract files; provides general office support; assists with travel arrangements; assists with corporate archives and facilities management; provides computer assistance and performs receptionist duties as needed.
Specific job goals, objectives and tasks are established for each employee as part of the annual evaluation and work plan process. Duties and r esponsibilities include, but are not limited to:
· Enter vouchers, invoices, budgets and other data into various spreadsheets
· Assist with large document and contract preparation
· Prepare monthly and quarterly Board and departmental reports
· Prepare internal and external documents, assist with formatting, typing, proofreading and editing documents in draft and final form, compile appendices and attachments an d distribute copies
· Review, maintain and file original contracts ensuring the necessary requirements have been met
· Conduct vendor file and vendor certification audits
· Process and track employee airline reservation requests securing the best price and time for travel
· Perform receptionist duties as needed and serve as back-up for reception desk
· Assist with ordering supplies and inventory tracking
· Perform other duties as assigned
