Job Title: Sr. Executive Assistant (C-Suite Support)
Employment Type: Contract (Potential Contract-to-Hire)
Location: Dallas, TX (100% Onsite)
Pay Rate: $35 – $45 per hour

Position Overview

Wheeler Staffing Partners is seeking a highly skilled Sr. Executive Assistant to provide dedicated support to multiple C-suite executives in a fast-paced, high-demand environment. This role requires exceptional organizational skills, proactive problem-solving, and the ability to manage complex schedules and priorities with precision.

The ideal candidate thrives under pressure, anticipates executive needs, and operates with a high level of professionalism and discretion while supporting leaders who travel frequently and manage dynamic schedules.

Key Responsibilities

  • Provide high-level administrative support to 3–5 C-suite executives

  • Manage complex and frequently changing calendars, prioritizing meetings and resolving scheduling conflicts

  • Coordinate domestic and international travel, including detailed itineraries, accommodations, and logistics

  • Prepare documents, presentations, reports, and meeting materials

  • Record and distribute meeting minutes and follow-ups as needed

  • Process expense reports accurately and in a timely manner

  • Serve as a liaison between executives, internal teams, and external stakeholders

  • Ensure seamless communication across departments and leadership teams

  • Handle sensitive and confidential information with the highest level of discretion

  • Manage multiple priorities simultaneously and adjust to shifting demands

  • Support special projects and additional administrative tasks as needed

Qualifications

  • Bachelor’s degree or equivalent experience required

  • 5–7 years of experience supporting C-suite executives in an executive assistant capacity

  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)

  • Strong experience coordinating business travel and executive-level scheduling

  • Proven ability to manage multiple workstreams in a fast-paced environment

  • Exceptional organizational, time management, and problem-solving skills

  • Strong interpersonal skills with the ability to build relationships across all levels of an organization

  • Excellent written and verbal communication skills

  • Demonstrated ability to handle confidential information with discretion and professionalism
