Executive Assistant -West San Fernando Valley

  • This a full time onsite position*

Location: West San Fernando Valley

Pay: $90-$100k annually

Schedule: Monday- Friday (fully onsite)

We are seeking a highly experienced Executive Assistant for our client to provide direct support to a senior executive in a fast‑paced, evolving business environment. This is a high‑impact, senior‑level role that requires exceptional organization, sound judgment, discretion, and the ability to manage multiple priorities with minimal oversight.

The Executive Assistant will function as a trusted partner, supporting executive priorities through effective coordination of scheduling, communications, and operational activities. The ideal candidate is proactive, resourceful, highly organized, and skilled at anticipating needs while maintaining the highest standards of professionalism and confidentiality.

This role requires strong independent decision‑making and the ability to assess when matters can be resolved autonomously versus when escalation is appropriate.

Key Responsibilities

Executive Support & Coordination

  • Manage a complex and frequently changing executive calendar
  • Coordinate meetings, appointments, and schedules across multiple stakeholders
  • Prepare agendas, presentations, reports, and meeting materials
  • Track priorities, action items, and deadlines to ensure timely follow‑through
  • Serve as a primary point of contact for internal and external communications

Travel & Logistics

  • Coordinate domestic and international travel arrangements
  • Develop detailed itineraries and manage transportation logistics
  • Support logistics for meetings, events, and executive‑led initiatives

Administrative & Operational Support

  • Maintain organized records, files, and documentation
  • Assist with document preparation, review, and administrative tracking
  • Process expense reports and related administrative functions
  • Support workflow optimization and operational improvements

Project & Relationship Coordination

  • Coordinate efforts across internal teams and external partners
  • Assist with special projects requiring detailed planning and execution
  • Monitor ongoing initiatives and support timely completion of deliverables
  • Facilitate communication and follow‑up across multiple stakeholders

Office & Team Support

  • Support day‑to‑day office operations and vendor coordination
  • Assist with leadership meetings, company events, and internal initiatives
  • Help maintain administrative systems, processes, and records
  • Provide coordination across administrative support functions as needed

Technology & Productivity

  • Utilize Microsoft Office and collaboration platforms to support executive needs
  • Assist with preparation of executive communications and presentations
  • Maintain organized digital filing systems and tracking tools
  • Leverage productivity and AI‑enabled tools to enhance efficiency while maintaining confidentiality

Qualifications

  • 7+ years of executive support or senior administrative experience
  • Demonstrated experience supporting senior leadership in complex environments
  • Strong ability to manage competing priorities with exceptional attention to detail
  • Excellent written and verbal communication skills
  • Proven ability to work independently and exercise sound judgment
  • High level of professionalism, discretion, and confidentiality
  • Advanced proficiency in Microsoft Office and common business applications
  • Strong organizational, planning, and follow‑through skills

Preferred Background

  • Experience supporting C‑suite executives or senior leadership
  • Experience managing complex schedules and travel coordination
  • Exposure to professional services, operational, financial, or legal environments
  • Experience coordinating with external consultants, advisors, or vendors
  • Comfort using modern productivity and organizational tools

Pay Details: $90,000.00 to $100,000.00 per hour
