Job Summary and Qualifications
The Administrative Assistant provides support functions for the CMO, CFO, and VP Business Development. of serves as the Compliance and Program Coordinator. Works with the Administrative staff in communicating with Medical Staff, maintaining all records, files, etc., in accordance with Joint Commission. Assists visitors and the public with any inquiry, problem or complaint presented, within the realm of designated authority. Serves as an information center supplying information requested or directing inquiries to the proper source. Problems that cannot be resolved are directed to any of the administrative staff after complete background information has been obtained for information.
What You Will Do In This Role:
· Schedules meetings for CMO, CFO, VP Business Development and other Administrative staff.
· Ensures minimal conflicts on calendar and notifies ten minutes prior to meeting to ensure punctuality to meetings.
· Provides agendas and other pertinent meeting details/materials in advance of meeting for review and sends reminders of upcoming meetings to attendees several days in advance.
· Create, maintain and distribute Administrator on Call schedule. Ensures rotation is consistent and does not conflict with Administrator out of office/PTO and that holiday rotations are shared amongst the team.
· Distributes calendar notifications.
· Updates Central Scheduler and Intranet with rotation schedule and any changes as they occur.
· Heavy calendaring/schedules meetings for Administrative staff as requested.
· Facilitates travel and seminar arrangements for hospital personnel as requested.
· Assist with scheduling of meeting rooms, setting up computer equipment for meetings. including webcasts and video conferences as requested. Ensures Board Room is neat and orderly following meetings.
What Qualifications You Will Need:
· Experience - Minimum 5 years Administrative Assistant experience, preferably in a hospital setting.
· Education - High School graduate; some college preferred.
· Strong word processing (Microsoft Office) and other computer skills.
· Excellent communication collaboration and well experienced in writing, editing, and well trained in office procedure.
· Good organizational skills. Detail oriented. Ability to handle confidential information appropriately. High degree of flexibility required.
