Job Description



    Position Title:    Import Customer Service Representative


    POSITION PURPOSE

    : An Import CSR works with customs agents, logistics companies (freight forwarders, nvo’s, US customs brokers, and trucking companies) warehouse staff, shipping companies and clients. Help with shipping, receiving and record keeping for international transactions, while adhering to Import regulations, policies, and laws. 

     

    An Import CSR has a wide range of duties that deals with each step of the shipping process. CSR tracks shipments and communicates with clients about the shipment’s progress. Much of this work is done using automated systems that can identify shipments, collect data and register shipments with government agencies.

    Expectations:                 

     

     

    • Prepare for customer inquiries, services, and customer service processes.
    • Improves quality service by recommending improved processes. 
    • Updates job knowledge by participating in educational opportunities or participate in cross-training sessions.
    • Maintain the highest levels of customer care while demonstrating a friendly and cooperative attitude
    • Understands and follows required procedures for import shipments
    • Handles time-sensitive inquiries in a timely manner
    • Takes direction from Import lead
    • Maintain all files/logs and reporting documentation on a daily basis; attention to detail in all daily aspects
    • Adhere to all applicable Company polices, business guidelines and safety regulations
    • Keeps an efficient relationship/communication with internal/external customers


Duties and Responsibilities:

 

 

 

  • 3461’S

 

 

 

Make sure information is entered free of errors, proper broker information is entered along with entry number. Make sure the entry has been signed

 

 

 

 

 

  • Availability

 

 

 

Have complete acknowledge of ocean terminals web sites and ocean carriers for proper follow up, is important to create a unique user and pass word for each site as required. Must check availability on container 2 to 3 times a day 7:30am, noon, and 4:00pm, keeping track until the containers are fully released

 

 

 

  • Board

 

 

 

CSR must update the boards constantly on a daily basis. OPS need to coordinate labor based on the information on the boards.

 

 

 

  • Dispatch

 

 

 

The container dispatch tag should be prepare as “pre-dispatch", making sure an hourly follow up with dispatch is done on each single movement, following each step of the procedure.

 

 

 

  • Unload & worksheets

 

 

 

Containers should be parked directly to the dock doors for immediate unload. Paperwork should be available to warehouse at this time.

 

 

 

  • Return empties

 

 

 

Warehouse will advise CSR as soon as containers are empty. CSR will return empty back to the correct terminal immediately.

 

 

 

  • Manifest

 

 

 

Ensure all manifest are data entered correctly and in a timely manner. Proof each manifest making sure master bill and house bill are correct. Print work sheets and manifest for dock operation.

 

 

 

  • Freight Cashier

 

 

 

Accept and post cash and check payments into the database. Print and maintain records. Invoice customers when billing instructions are sent. Must review charges, check for storage and be sure all costs are paid prior to release of cargo.

 

 

 

 

 

 

 

 

 

  • Delivery Clerk

 

 

 

Review documents are correct and proper releases are in place by US Customs and freight forwarder before shipment is released. If errors are made and cargo is mis- delivered huge fines could be assessed and our customer bond revoked.

Must possess excellent verbal and written communication skills, outstanding interpersonal and people skills, be service-oriented and a true team player. Must be flexible and able to adapt easily in a fast-paced work environment.

EDUCATION AND WORK EXPERIENCE:

 

High School Diploma required, Associates Degree preferred, Business or related fields

 

Any equivalent combination of experience and training that provides the required knowledge, skills and abilities.
