Job Description


This position is responsible for greeting guests and members in a courteous and amiable manner, answering incoming calls, directing calls to appropriate associates, distributing mail, supporting the events and membership department and maintaining the front desk and lobby.


Essential Duties and Responsibilities:

  • Answers telephones and directs the caller to the appropriate associate; transfers calls to voicemail as appropriate.
  • Greets and directs visitors.
  • Takes and retrieves messages for various staff.
  • Provides callers with information, such as company address, directions to the company location, company fax numbers, company website and other related information.
  • Places outreach marketing phone calls as needed.
  • Conducts tours of the facilities.
  • Updates member information in internal system.
  • Sorts and forwards incoming mail; maintains and routes publications.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.).
  • Assists in ordering, receiving, stocking and distribution of office supplies.
  • Assists with other related clerical duties, such as photocopying, faxing, filing and collating.
  • Supports the events and membership department; conduct member briefings, update bookings, etc.
  • Handles reservations for events and members.
  • Assists management with administrative tasks; updating spreadsheets, scheduling staff, data entry as needed.

Job Requirements


One year of administrative or related experience.


Education and/or Experience:

Associate’s Degree preferred but not required.


Computer Skills:

Proficiency using software programs such as MS Word, PowerPoint, Excel and Outlook


Position Type and Expected Hours of Work:

This is a part-time position with flexible days and hours including evenings, weekends and holidays.  


 Environmental Factors/Physical Demands:


Work is performed in an office environment. While performing the duties of this job, the employee is regularly required to have the ability to maintain active customer and employee communication; access, input and retrieve information from the computer system; enter alpha-numeric data into a computerized system often while listening on the telephone. May be subject to repetitive motion such as typing, data entry and vision to monitor. May be subject to bending, reaching, kneeling, stooping and lifting up to thirty (30) pounds.
