Responsibilities / Expectations

To understand and implement specific invoice program requirements • Knowledge of office administration & procedures • Good communication & organizational skills • Ability to compose correspondence via e-mail • General understanding Purchase Orders and Invoice process • Problem solve complex invoice issues • Resolve pricing discrepancies • Detail oriented and team contributor • Prioritize work load to meet deadlines.

 

Retrieve and route invoices that are processed through Markview 170 for accuracy and verify required back up documentation is included with invoice submission and authorized approvals are received• Receive invoices in IFS • Understanding of invoice aging hold report,  Work with vendors, program office and buyers to resolve outstanding invoice issues. • Obtain shipping information from vendors (packing lists & bill of lading) in a timely manner • Send weekly reminders to approvers on resolution of invoices, Work with accounts payable in resolving invoice issues, credit memos and RMA’s • Develop working relationships with vendors, approvers and program office’s • Support other members of the invoice team in processing and resolving issues for other programs, when time is allowed.


Job Requirements

Minimum Requirements

A minimum of High School Diploma or the equivalent is required. In addition, a minimum 1 year of directly related experience is required.

 

Additional minimum requirements and preferred skills

Interacts with a variety of internal and external personnel at a level to exchange basic information

Contact with individuals or teams; face-to-face, by telephone, or otherwise

Works under general supervision; normally follows established procedures/instructions given for routine work; detailed instructions only given on new activities or special

Assignments require basic problem resolution assignments

Limited understanding of the technical aspects of the job

Ability to follow a schedule of work activities and priorities determined by supervisor; recognizes the need for occasional deviation from accepted practice
