Secretary/Admin Asst - ExecCompensation:
$23.00 to $27.00 per hour
Well-respected south metro client is currently seeking an Executive Assistant to support 4 Directors and 2 Executive team members. This candidate would provide executive level administrative support to the President and Vice President as well as their executive leadership team. Position is also responsible for providing administrative support for weekly on-site meetings and quarterly off-site meetings. The Executive Assistant will play a vital role with this company by assisting to manage, identify and clarify requirements for special projects or events. Conduct research, coordinate and confirm reservations, meetings or other services. Will collaborate and coordinate on process improvement and development of content for projects and strategic plan deliveries. Completes work through prioritization in evaluation of risk, importance, urgency, and potential implications or impact. Manages multiple projects simultaneously ensuring deadlines. Utilize expert time management skills and expert judgment to conserve time by screening, researching, and managing correspondence, messages, telephone calls, and clients; preventing interruptions; and resolving issues. Performs other administrative duties as needed. Research, collect and analyze business data. Utilize technical expertise to generate applicable communications and reports. Manage spreadsheets for tracking, ability to work with and understand general financial reports, processing and classifying expenses. Will be the communications liaison with the executive leadership. Responsible to draft, edit, proofread, and review correspondence. Additionally will regularly capture notes from meetings. Seeking candidate with 7 to 10 years experience providing executive administrative support. Preferred Bachelor's degree or equivalent executive administrative experience; Associate degree is a must. The ideal candidate is a confident self-motivated executive administrative professional who thrives in a challenging fast-paced professional environment. Ability to communicate effectively (verbal, written, and presentations) with executive leadership, staff, and internal and external clients. Excellent interpersonal skills. Proactively exercise sound judgment and decision making. Demonstrated ability to analyze, identify problems and needs, and develop solutions and/or option. Exceptional time management and organization skills. Ability to manage multiple tasks and projects simultaneously establishing priorities to meet deadlines. Experience conducting research utilizing traditional, online and creative methods. Demonstrated ability to maintain confidential and sensitive data. Proven Intermediate to advance proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Publisher, etc.),Microsoft SharePoint, and ability to learn and work with other software programs.
