The Executive Assistant is tasked with assisting the President execute the projects, tasks and policies of the office of the President.  They are responsible for:


  1. Communications on behalf of the President

  2. Administration and paperwork

  3. Event Management

  4. Project Management and Participation

  5. Assisting with Marketing and Sales efforts separate from proposal generation

  6. Assisting the President’s direct reports with projects and administrative tasks


MAJOR RESPONSIBILITIES AND FUNCTIONS


  • Operates as an agent for the President, providing support, planning and task execution – both in a collaborative and independent manner – whichever the situation requires. Administration.

  • Manages and coordinates projects, scheduling and meetings for and on behalf of President.

  • Prepares announcement material, booklets, and other media for communicating new plans, initiatives or projects to operations management team.  

  • Assists & facilitates handling of issues, inquiries and complaints.

  • Develops Marketing and Sales information when needed

  • Coordinates President communications – researching better methods and means of successfully connecting with and informing The Budd Group’s operations team  on issues of importance

  • Serves as Salesforce.com (CRM system) administrator. As the CRM administrator the position is responsible for developing, and updating input templates as directed.

  • Develop departmental reporting formats and compiles and maintains organizational reports to include sales forecast.

  • Responsible for maintaining and organizing sales & marketing materials and working with internal marketing needs as well as external marketing vendors.

  • Maintains database of customer contracts to insure all current customer contracts are available to reference.

  • Assist in arranging and coordinating special events to include tradeshows, customer meetings and customer events.

  • Ability to develop and maintain financial spreadsheets, create charts and tables from spreadsheets for use in PowerPoint presentations.

Job Requirements

Education:  Four-year degree required (Degree in Business preferred)

Experience:   Ten years in a role supporting senior sales or marketing managers

Specialized Training: Additional courses or seminars related to project management; software & advanced MS Excel & MS Word skills required. Salesforce.com, Gmail and Google Docs software experience a plus.
