Job Description

The Administrative Assistant oversees a variety of functions in the safety and security offices. The Administrative Assistant serves as liaison between leadership, medical staff, associates and the general public, making independent decisions when appropriate and working as part of a team for overall support to include general administration in coordinating, maintaining, and updating the CHRISTUS Santa Rosa Health System (CSRHS) wireless office system, wireless pager and cell phones database, orders and maintains stock of pagers, cell phones and smart phones, and processes accounts payable for the CHRISTUS Santa Rosa Region. The Director of Security sets the overall objectives and provides general supervision. The Administrative Assistant provides overall secretarial support to the Safety, Security and Telecommunications Department to accomplish daily workloads with duties including or comparable to the following

Job Requirements


•         Two years of college or Certification as a Professional Secretary (CPS) preferred. Significant applicable experience in lieu of college may be considered.
•         Must have computer skills in word processing, presentation software, electronic mail, and spreadsheets; must have knowledge of Windows working environment. Must be able to operate facsimile machines, printers, copiers, audiovisual equipment and other office equipment. Must be able to type at a rate of approximately 80 wpm and be able to take dictation or notes at 90-100 wpm; must possess good written and oral communication skills.

Must be knowledgeable of hospital policies, procedures and organizational structure; must ensure all state regulatory requirements are current and updated as applicable in security associates personnel file; must be able to set priorities with little guidance; must be able to juggle several assignments at once; must be scrupulously discreet; must work will with all levels of associates; must be able to make independent decisions; must be able to remain calm in the face of deadlines, rush jobs, and irate customers; and most importantly, must demonstrate the CORE values at all times. Must successfully complete the pre¬-employment/post job offer health screening examination and the annual screening each year thereafter as an employee.

Experience:

Five (5) to seven (7) years administrative assistant/secretarial experience preferred. Significant applicable education and/or training may be considered.
