Job Description

Job Summary:


  • Performs all duties necessary to maintain the integrity of the Source Systems populating the Enterprise Master Person Index (EMPI) database, the EMPI database and downstream systems, such as AEHR, Cerner, etc. according to established procedures and guidelines.

Essential Duties

  • Responsible for daily reviewing overlay tasks, duplicate tasks, linkage tasksand review identifier tasks using Initiate™ Inspector. Researches and performs EMPI maintenance as required according to established procedures and guidelines.
  • Processes all types of tasks based on an established workflow hierarchy (tasks associated with clinical results, potential overlays, potential duplicates, potential linkages and review identifiers)
  • Retrieval of medical record(s) for further review for the purpose of gathering additional information/verification to determine if a merge should be completed and/or retrieving information to correct an overlay within the source system.
  • Utilizes outside resources, such as insurance websites, doctors office staff, etc. to determine accuracy of data.
  • Resolve same source duplicates/overlays/review identifier tasks within source systems according to established procedures and guidelines.
  • Resolve linkage tasks across all facilities within IBM Initiate Inspector tool according to established procedures and guidelines
  • Notify all downstream systems/departments and supplemental software support staff of medical record number (MRN) changes as necessary in a timely manner regarding merges according to established procedures and guidelines.
  • Research author of duplicate PI/MRN and determine why existing patient was not selected appropriately. Provide feedback as appropriate.
  • Works Remedy tickets and answers calls regarding discrepancies or problems with issuance of patient identifiers/medical record numbers, performs research and maintenance as necessary and does follow-up as appropriate.
  • Work closely with Registration and HIM managers to help improve EMPI processes that will help eliminate errors.
  • Work closely with the EMPI Solutions Architect/Technical/other EMPI analysts to help ensure accuracy of system and make improvements/corrections to system as necessary.
  • Participate in requesting, implementing and testing new software specifically designed to help eliminate duplicate medical record numbers and improve registration processes.
  • Participate on Registration and HIM focus and task force teams as assigned.
  • Participate in Merge Work Group meetings across the corporation as assigned.
  • Complies with all organizational and departmental policies and procedures.
  • Serves as a role model and demonstrates positive customer relations
  • Maintains and protects confidentiality of patient information and position-acquired information.
  • Participates in continuing education programs and in-services to enhance job knowledge.
  • Perform other duties as assigned.

Job Requirements

Education A high school diploma is required. Post-secondary education is desirable Experience:
  • A minimum of two years experience in the business areas of healthcare is required.
  • Ability to work extremely well and effectively with internal and external customers.
  • Ability to demonstrate increasing responsibility as well as a thorough understanding of regional HIM and/or Registration and/or PFS procedures.
  • Good written and verbal communication skills are required.
  • Excellent decision making abilities. Ability to analyze data and make patient information decisions based on information gathered.
  • Good facilitation and conflict-resolution skills.
  • Detailed oriented and follows procedures well.
  • Computer literacy mandatory.

Preferred qualifications:

  • Knowledge of [source 1] and [source 2] desirable.
  • Knowledge of and ability to use PCs, Windows including a ten-key pad
  • Knowledge of general MS Office programs, e.g. Excel,
  • Access, Word, PowerPoint
  • Knowledge of Exchange and Schedule Plus.
  • Familiar with corporate merge process (proposed).
  • Excellent communication skills, detail oriented, self-directed.
  • Ability to learn quickly.
  • Ability to be flexible and adapt well to change.
  • Ability to work as part of a team and also independently with minimal supervision.
