Technical Administrative Assistant

The Technical Administrative Assistant provides support to the Resource Management organization and in particular to the Project Management and Project Controls areas. They perform technical and general administrative assignments to support team which includes Managers, Project Managers and Project Controls. This is an entry level position requiring 5 years of experience as Administrative Assistant in a Technical support role or 5 years of significant, related work experience. Work is performed under minimal to moderate supervision. At this level an incumbent learns office routine and procedure and implements learned application of steps in established work techniques and procedures. Receives training in the internal company operations and use of computer hardware and software applications to support the work unit. Also is involved in developing new tools, job aids, etc. to aid team.

Job Duties:

  • Create and maintain spreadsheets. Maintain documentation in various computer applications including using SharePoint for storing and management of documents.
  • Create documents in Work Management system, update data, run queries, compile and analyze data.
  • Organize and file departmental documents (manual and/or electronic). May be asked to assist with electronic project files as well.
  • Reviews, analyzes, compiles, and prepares technical related data/information and applies computer technology to assist in data trend and analysis and report preparation.
  • Supports organization in file management, documentation printing and issuing, Project Manager request for services, and general technical office administrative duties.
  • Works directly with contractors and department members resolving questions regarding work.
  • Prioritizes and resolves inquires by phone, in person or email in a professional way.
  • Schedule, organize and initiate inter-departmental and external meetings and/or training sessions. Resolve scheduling conflicts; work with meeting owner to solicit and publish agenda items; reserve conference rooms and pool cars; ownership of physical meeting room set-up; establish and initiate conference calls and set up web-based meetings. Will also attend all meetings as requested. May be asked to record and publish decisions and/or action items from these meetings. Type correspondence and reports. Assist with photocopying, scanning and faxing; distribute reports and make other deliveries.
  • Must handle confidential information in a professional manner.
  • Other duties as assigned.

Qualifications:

To perform this job successfully, an individual must be able to perform essential duties satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • 5 years of experience as Administrative Assistant in a Technical support role or have 5 years of significant, related work experience.
  • Adapt and learn company processes, methods and procedures.
  • Proficient in Microsoft Word, Outlook, Excel (Expert level experience), PowerPoint. Good working knowledge and interest in use of computers.
  • Work in a team environment; must be able to maintain a positive attitude, stay calm and remain attentive to high-level goals when the external environment is unstable and stressful.
  • Multitask, prioritize daily tasks, use good time management and work against deadlines. 
  • Adept at reading and writing; uses professional business grammar and transmits a friendly, courteous, professional, and confident perception to all clients (users).
  • Excellent written, verbal and interpersonal communication skills. Must be able to communicate effectively with the Manager and departmental staff, associates at all levels of the organization and multiple external partners .
  • Adaptable, self-motivated learner is essential, with capability to work in a fast paced environment. Ability to problem solve, make decisions and work independently. Able to act on own initiative and be able to set priorities within a sometimes heavy workload. Must be a quick learner and motivated to develop new on the job skills, often with minimal support .
  • Demonstrated ability to manage conflict.
  • Uses common sense to fulfill job requirements and carry out instructions; capable of resolving moderate to complex problems involving multiple variables; must pay attention to detail.
  • Possesses ability to sit for extended periods of time, talk with people both on the phone and in person, and hear and comprehend conversation and instructions;
  • Must use hands to type with accuracy, write, and handle paperwork; capable of walking up and down staircases; stooping, bending, and lifting of no more than 50 lbs. is required.
  • Must be safety conscious, reliable and trustworthy.
