Job Description


Since 1885, the Texas Bankers Association (TBA) has been working to create a dynamic and profitable environment for Texas banks. TBA members benefit from legislative advocacy, a variety of educational offerings ranging from webinars to week-long schools and several publications designed to keep bankers informed of trends, legislation, regulatory matters and others. We are truly a one of kind organization representing all of Texas’ banking institutions.

 

Administrative Assistant

We are seeking a mature and seasoned professional to join our team. We will rely on your professional acumen to assist in the day-to-day operation of the Professional Development Department pertaining to all programs and products. Additional responsibilities will include but are not limited to:


  • Answer incoming calls from membership needing information on Professional Development programs
  • Compose, type, and proofread correspondence, minutes, reports, surveys and other documents
  • Set up and maintain filing system
  • Assist with travel arrangements for education staff and speakers when necessary
  • Register individuals (utilizing iMIS database) for schools and seminars
  • Assist with all materials for on-site educational events
  • Acts as switchboard backup on a rotating basis with other staff people
  • Make all badges for PD live events and TBA Convention
  • Assist with Professional Development’s organization of all needed supplies for live events
  • Assist with the set-up of meetings in the board room when Professional Development has meetings in the building

Live Events:

  • Responsible for closing out attendance records for all live programs and mailing materials to paid no-shows.
  • Maintain program reports
  • Apply for and track all CEU and other credit for all programs
  • Load PowerPoint presentations on laptop

Marketing

  • Updating PD program info in database
  • Monitor changes on the PD Overview page on the website
  • Getting webinar brochures ready for production, put on ftp site, and putting the brochures on the provider’s Admin site, and notifying the state associations.
  • Proofing brochures and email marketing (links, attachments, formatting)
  • Check competitors’ programs monthly
  • Enter prospects and flag in iMIS for all programs

Webinars

  • Monthly webinar accounting and check requests
  • Solicit webinar materials from speakers and send them on to the webinar provider
  • Evaluation monitoring on webinars
  • Webinar activity entered in iMIS
  • Archive webinars to hard drive


Job Requirements

Education:

  • High school diploma; some college preferred

Skill Requirements: 

The position requires the ability to:

  • Organize and execute details
  • Plan, prioritize, and execute workloads
  • Follow directions and work without supervision when necessary
  • Communicate ideas and work-related needs both orally and in writing
  • Be flexible and to handle several tasks/projects/ideas at the same time
  • Typing for accuracy, word processing, telephone skills, listening skills

 
Other skills are:

  • Computer skills including word processing, data base concepts, data entry, spreadsheet
  • iMIS database experience preferred
  • Proofreading
  • Analytical thinking
  • Planning
  • Customer service orientation
  • Math skills
  • Ability to organize and prioritize several projects at one time
  • Good business knowledge
  • Knowledge of the banking industry

Relevant Experience:   Three years clerical experience in a professional environment with a minimum of one year at the administrative assistant level. Customer service experience.  Computer training including database entry, word processing, spreadsheet, desktop publishing, minute taking.
