Accounting Assistant

Position: Accounting Assistant

Job Summary

Performs a wide variety of routine accounting and administrative duties. Responsible for the processing of Accounts Payable and Accounts Receivable. Assists with preparation of monthly financial statements, annual budgets, and forecasts.
Primary Duties and Responsibilities


  • Performs timely and accurate processing of all accounts payable transactions and assures compliance with company policies, procedures, and Chart of Accounts.
  • Receives, codes, and posts membership dues and National Database payments.
  • Reconciles cash transactions from lockboxes, credit card payments and bank deposits.
  • Processes invoices for National Database and for miscellaneous activities.
  • Prepares monthly collection letters in accordance with prescribed procedures.
  • Prepares accounts receivable reports.
  • Prepares non-complex journal entries, e.g., rent and insurance.
  • Assists with bank account reconciliations.
  • Assists in the monthly preparation and distribution of financial reporting packages.
  • Assists with annual budget preparation.
  • Prepares reports for professional development expenses incurred by staff.
  • Maintains accounts payable, accounts receivable and cash deposit files.



Bachelor's degree with a concentration in accounting is required.


Minimum of one year of accounting experience is preferred.

  • Excellent written and oral communication skills
  • Proficiency with Microsoft Office products
  • Excellent organizational, planning, and follow-through capabilities; attention to detail is essential
  • Ability to multi-task and manage several projects simultaneously
  • Ability to develop and maintain positive working relationships with co-workers, volunteer leaders, other organizations, and industry contacts; tact, diplomacy, and good judgment are essential
  • Positive attitude in the workplace
  • Flexibility and adaptability to changing daily activities and schedules
  • Ability to travel, as necessary
