Job Description

Position Summary:
Functions as a business partner to the employees of Total Safety and interprets and communicates Human Resources policies and procedures to the team. Coordinates human resources administrative support including, onboarding, employee relations, benefits and HRIS data integrity.

Essential Job Functions

•Liaison with recruitment staff and hiring manager to complete onboarding process for new hires.
•Complete Recruitment and Hire Wizard in UltiPro for designated regions within Total Safety organization.
•Ensures required completion of all new hire paperwork in accordance with company policy and related regulations for designated regions including compliance of I-9 and E-verify requirements for corporate new employees on date of employment in accordance with regulations and company policy.
•Coordinates pre-employment process with third party providers and applicants including submitting requests for background and drug screen pre-employment screenings and reviewing results to confirm date of employment.
•Coordinates communication with new employees and management for details and logistics surrounding first date of employment.
•Provides training and development for onboarding specialists throughout the company on onboarding processes, procedures and policy related requirements.

•Liaison for internal customers relating to HR policy, process and procedures throughout the company.
•Serves as liaison for BA’s and management fielding questions related to employee data in HRIS
•Business Administrator reviewing Manager Self Service data entry and approvals.
•Coordinates employee referral program and payments.
•Coordinates and administers PTO Plan in UltiPro.
•Ensures companywide I-9 compliance
•Coordinates and prepares presentation materials for employee communications relating to Total Rewards menu of services for company.
•Responsible for maintaining and updating SharePoint Intranet and HR Connection administrators with up to date information to keep current
•Provides information and timely communication to HRBP’s and BA’s regarding employee communication
•Responsible for company organizational charts and maintaining them up to date including communication with management as needed.
•Projects as assigned by Total Rewards Manager, Manager – Talent Acquisition and VP HR as required

Office Administration
•Liaison with TPA for employment verification requests and other requests for information.
•Liaison with TPA and operations for unemployment claim requests for information.
•iSynergy primary resource for employee records as requested including scanning of records.
•In charge of employee file management including bonus documents, employee relations, etc.
•Ad hoc reporting requirements as assigned by management related to UltiPro.
•Responsible for maintaining reporting structure up to date in UltiPro.

•Internal support to educate/guide employees on available resources for benefit related matters as it relates to health and welfare benefits
•Data entry for medical support orders and related communication with employee and state regulatory agencies.
•Participates in annual open enrollment program for employee benefits preparing communication materials, packets and coordinating employee meeting schedules.

•Participates in internal audits related to salary administration and employee benefits including research, data management and report preparation.
•Performs salary surveys and retrieves market salary data for recruitment team as requested for open positions.
•Assists in preparation of job profiles as requested from internal customers formatting same on consistent templates and performing FLSA testing for status designation.

Job Requirements

Education and Experience
•3-5 Years directly related HR administrative/generalist experience.
•Associates or Bachelor’s Degree or equivalent in related field. Must have working knowledge of basic HR processes and employment law. Direct experience with knowledge of departmental function, procedures, terminology and interrelationships. Internal experience preferred.
•Excellent communication and listening skills with the ability and flexibility to communicate at all levels delivering a high performance standard of customer service.
•Proven skills in identifying top priorities in a high-volume multi task work environment and the ability to determine critical few and know when to communicate issues and escalate them for decision-making.

Other Required Skills
•PC Skills with proficiency in MS Word, Excel and Outlook. Excellent master of excel and PowerPoint needed for reporting and presentation materials. Attention to detail. Proficiency with UltiPro or similar payroll and/or HRIS (Human Resources Information System) or related mainframe systems experience.
•Ability to maintain data integrity and to extract data and prepare reports in an accurate and timely manner. Commitment and diligence to meet deadlines.
•Familiar with federal and state employment laws.
•Must be able to work under pressure and respond to tight turnaround time of projects.
•Ability to handle confidential information with a zero tolerance for breach of value in this area.
•Proficient organizational and time management skills to handle multiple tasks and changing priorities. Must be able to work with interruption and limited supervision.
•Must demonstrate ability to work in a team environment and willingness to assume additional or new responsibilities readily.
