Senior Payroll Specialist

CSI is currently seeking a Payroll Supervisor for our client located in Jacksonville, FL (zip code; 32224). We are looking for someone with 5-7 years in a Management/Supervisor role within the Payroll or Accounting department of large company. The base salary for this role is $50k/yr.-$55k/yr. depending on experience and education. We are preferably looking for someone with their CPP designation.





  • Serve as a key resource for guidance, and insight pertaining to all payroll related functions.  This includes processing, tax and reporting.


  • Manages all system administration and maintenance for TLO, HRO and Paychex.  This includes but is not limited to new hires, leaves, terminations, department transfers, salary changes, tax and direct deposit changes.


  • Manage our employment eligibility I-9 process for new hires as well as certification updates and audit when required.


  • Responsible for TLO for tracking of non-exempt employees’ hours worked as well as any paid time off taken.  This includes time clocks as well as office staff with on-line TLO access.    Additionally responsible for managing, tracking, reconciling and reporting of vacation and sick accounts.


  • Compute wage and overtime payments for bi-weekly payroll.  Ensure that all state and local taxes, social security contributions and contributions to employee benefit programs and other deductions are withheld from individual paychecks.  Prepare and file (or coordinate through Paychex) required reports and or payments to government agencies.


  • Analyzes automated system output such as registers and standard reports (e.g. voluntary deductions) and researches and prepares special reports for management.


  • Manage the calculating and process of military and jury duty pay, garnishments and levies.  Liaison between appropriate authority and employee.  Process either internally or via vendor all wage garnishment payments.


  • Provide effective and timely employee communications regarding all changes and issues impacting their paycheck.  Maintain all payroll-related files.


  • Finance & Reporting:


  • Responsible for preparing monthly payroll journal entries based on an accrual accounting system. 


  • Prepare and manage latest thinking for salaries, taxes and fringe accounts.  Assist with budget related requests as needed.


  • Calculate Group Term Life (GTL) add-backs at year-end.  Work up auto income including gross ups where applicable and SERP for executives.


  • Prepare annual U.S. Census Bureau report of organization by location.


  • Compile and distribute monthly reports relating to headcount, turnover and departmental listings.


  • Compensation:


  • Prepare semi-annual non-discrimination testing reports.


  • Interact with financial institutions regarding employee direct deposit issues, if needed.


  • Manage reporting and research for various salary surveys.  Prepare monthly increase and performance statistics.


  • Manage employee payroll data for annual workers comp audit.  This includes categorizing positions and reconciling to total payroll.  Maintain separate plan year logs for overtime by department and severance by both department and individual.


  • Perform internal audits of various HR functions as required and/or agreed to with the VP of HR and Compliance. 


  • Bachelor degree plus five to seven years payroll/accounting experience in a supervisory capacity. 
  • CPP designation is preferred. 
  • ADP or Paychex software. 
  • Strong organizational and interpersonal skills. 
  • Attention to detail and accuracy is required.
