Job Description


A corporate real estate firm located in downtown Chicago seeks an Administrative Assistant to join their team. Main responsibilities will include creating presentations for brokers using Microsoft PowerPoint which will include multiple property surveys and tour books and will often be under short deadlines. Will also be involved in company PR such as marketing and special events. Other responsibilities include preparing documents including correspondence, proposal requests, and spreadsheets, managing client information, reception, and any other support duties that arise for this busy office. This is a temp-to-hire opportunity.

 

Responsibilities of the Administrative Assistant:

  • Prepare correspondence, documents, Request for Proposals (RFP’s), spreadsheets, reports, etc. with direction from brokers and/or knowledge of company policies and procedures.
  • Prepare, produce, and edit (content & formatting) large marketing presentations, multiple property surveys, tour books, PowerPoint presentations, and presentation quality mapping documents.
  • Manage client information through client/prospect databases including salesforce.com.
  • Participate in scheduled sales staff and office assistant meetings.
  • Support the sales staff with daily operations
  • Provide reception coverage if needed
  • Provide proofreading and editing functions in any outgoing documents.
  • Coordinate marketing, P.R. and special event initiatives.
  • Perform other related duties, as assigned.


Job Requirements


Requirements of the Administrative Assistant:

  • Bachelor’s degree preferred
  • Must have a minimum of 3 years of administrative experience (real estate experience is a plus)
  • Proficient in Microsoft Office Suite, especially experience with mapping programs and graphics programs
  • Creative, self-starter seeking entry level position into commercial real estate
  • Strong organizational, interpersonal and communication skills.
