MEDICAL RECEPTIONIST AND RECORDS CLERK

 

This will be a dual position with responsibilities at the front desk as the Receptionist and also the Records Clerk.  The candidate we desire to hire for this position will be required to have  the ability and past work experience working as a Medical Receptionist and Medical Records Clerk.  The flow and volume of patients will determine responsibilities for the day and which department  to work in for the day.  The candidate may be required to work in both roles for a portion of each day or spend the entire day in records, then work as the receptionist the following day.  This position requires someone with the ability to adapt and go with the flow based on how busy the office is each day.

 

The candidate in this position will be responsible for greeting all patients and visitors, check in/out, scheduling appointments, answering general questions and insurance verification.  This position is responsible for processing all release of information requests in a timely and efficient manner ensuring accuracy and providing customers with the highest quality product and customer service. Associate must at all times safeguard and protect the patients right to privacy by ensuring that only authorized individuals have access to the patients medical information and that all releases of information are in compliance with the request, authorization, company policy and HIPAA regulations. 



Receptionist

 

·         Registration of patients to the facility in compliance with established policies in a manner that communicates to the patient that their well being is the primary mission

·         Assures that the clinic is running smoothly and that patient flow is at the optimum

·         Performs all front office duties corresponding patient check-in, appointment scheduling, insurance verification and customer service

·         Monitors the flow of patients, including placing patients into rooms as needed.

·         Processes patients for discharge including (but not limited to) preparation of charges, collection of monies, obtaining all necessary signatures, and issuance of receipts for monies collected.

·         Completes all necessary forms for registration to assure proper reimbursement

 

Records Clerk

·         Completes release of information requests including retrieving patients medical chart and returning chart, scanning medical record accurately and correctly and transmitting daily, according to requests, established procedures, and established standards of quality and productivity.

·         Date stamps all requests and highlights pertinent data to facilitate processing.

·         Validates requests and authorizations for release of medical information according to established procedures.

·         Performs quality checks on all work to assure accuracy of the release, confidentiality, and proper invoicing.

·         Maintain equipment in excellent operating condition (inside and out) and troubleshoot equipment issues with assistance from the Help Desk department.

·         Provides excellent customer service by being attentive and respectful; insures understanding of customer request and follows-through as promised; and being proactive in identifying client concerns, or problems. 

·         May receive incoming requests including opening mail, assisting walk-ins and telephone inquiries, and retrieving facsimile inquiries, depending on the needs to the client.

·         Maintains a clean and orderly work area, insures that records and files are properly stored before leaving area, insures adequate supplies to meet customer requests.

·         Carries out responsibilities in accordance with company  policies and procedures, including HIPAA, state/federal regulations related to operations, and labor regulations.

·         Maintains confidentiality, security and standards of ethics with all medical records information including storage and disposal.

·         Work with privileged information in a conscientious manner while releasing medical records in an efficient, effective, and accurate manner.

·         Performs other tasks as assigned including but not limited to the requirement to work at facilities in close proximity to your principal place of business as directed by the Service Specialist, Area Manager or District Manager when business needs dictate.

 

Requirements
  • Prior experience in a medical office or medical records department minimum 1.5  years required
  • Associate's degree or Certification in medical records or healthcare highly preferred; High school diploma/GED required
  • Must have strong computer software experience – general working knowledge of Microsoft Word and Excel required
  • Excellent organizational skills a must
  • Experience with EMR and paper medical records, with the ability scan, fax and upload records
  • Must be able to type 50 wpm
  • Must be willing to learn new equipment and processes quickly
  • Must be self-motivated, a team player
  • Must have proven customer satisfaction skills
  • Must be able to multi-task
