Executive Assistant

Job Description

A corporate office that runs upscale retirement communities is seeking an Executive Assistant to support the Senior Vice President of Operations and other operational leaders as needed. The Executive Assistant will be responsible for being the primary point of contact for information between staff and vendors, calendar and contact management for the SVP as well as travel arrangements and expense reporting. The ideal candidate would have a minimum of 7 years of administrative support experience and possess very strong technical skills.


Responsibilities of the Executive Assistant:

  • Primary communication point facilitating information flow between corporate staff, departments, communities and vendors to maximize efficiency and achieve business objectives. 
  • Calendar and appointment management,
  • Coordinate travel arrangements as well as expense reporting
  • Planning and execution of conference calls, meetings, events and meals.  
  • Assist the SVP meeting preparation and/or content creation working within Microsoft Suite 
  • Organization of files and archiving operations data. 
  • Research and organize information for proposals and planning purposes    

Job Requirements

Requirements of the Executive Assistant:

  • Minimum of 7 years administrative support
  • Bachelor’s degree preferred.  
  • High level of proficiency in Microsoft Word, Excel, PowerPoint, Visio, Outlook and Sharepoint
  • Self-motivated and demonstrate a high level of responsibility
  • Possess excellent organizational, communication (particular emphasis on business writing) and analytical skills
