Job Description


Proofread prescription drug labeling and packaging documents for Global Market implementation and submission. Proofread documents to ensure accuracy of spelling, grammar, punctuation, syntax, context, and references with consistency and accuracy across documents. Develop basic understanding of Global Regulatory principles and general labeling requirements to review for compliance with Corporate, FDA, and AMA guidelines.


Responsibilities Include:

  • The Proofreader will work as an extension of the brand review team and reviews and approves all promotional projects.

  • Edit all advertising, promotional, and educational projects to ensure:

  • Accuracy of spelling, grammar, punctuation, syntax, and context
    Accuracy of references and other data

  • Compliance with corporate, FDA, and AMA guidelines

  • Correct usage and presentation of company trademarks, logos, and corporate branding

  • Consistency and accuracy of layout components

  • Overall sense, continuity, consistency, clarity, and presentation

  • Upon the client’s request, provides copyediting assistance to improve content and readability.

  • Proofreads all design and copywriting projects including hard copy documents, PDFs, PowerPoint presentations (printed and on-screen), CD-ROMs, web pages, as well as various types of creative collateral.

  • The Proofreader will ensure all client and LMR annotations are made at specified junctures in the review process.

  • Ensure all deadlines are met.

  • Ensure Pharmaceutical Regulatory, Legal and, company Compliance guidelines are followed to the letter.

  • The Proofreader will ensure that branding guidelines are followed to the letter.

  • Interacts with the Account Executive to resolve issues, negotiate revisions, and verify information whenever necessary.

  • Verify correct version of Prescribing Information (PI), Brief Summary, Important Safety Information (ISI), and Patient Information (PPI). Maintain, update, and work from current master documents.

  • The Proofreader will provide final sign-off on projects at the disk release and blueline stages to ensure accuracy.

  • Provide editorial contribution to and involvement in preparation and processing of materials for product launches and POAs (Plan of Action meetings).

  • The Proofreader will verify references and ensure adherence to AMA guidelines.

  • Perform other duties as assigned by supervisor.




Job Requirements




  • Bachelor’s degree in English, Writing, Journalism, or Communications.

  • Minimum 3 years professional copyediting and proofreading experience, preferably in the medical field.

  • The Proofreader must have knowledge of medical/pharmaceutical terminology, basic anatomy, or other science.

  • Ad agency experience required.

  • The Proofreader must have the ability to work well under pressure, multitask, reprioritize, and adhere to deadlines.

  • Ability to identify resources (Internet, reference materials, etc.) to resolve queries.

  • Excellent planning and organizational skills.

  • Strong interpersonal skills; ability to communicate effectively and work well with others.

  • Knowledge of Microsoft Word.

  • Proficiency in standard office technology, including Word, Access, Excel, Microsoft Outlook Email/Calendar; willing to learn additional applications as needed.
  • The Proofreader must have good working knowledge of Adobe Acrobat.
  • Ability to accurately review complex materials including all graphics, texts, multimedia, web sites and charts with excellent attention to detail.

  • Must have a good knowledge of Adobe Acrobat to work with PDF files that come into department.

  • The Proofreader must have excellent project management skills, highly organized and ability to multitask effectively.

  • Excellent team player with good interpersonal skills.

  • Operates effectively and with flexibility in a fast paced deadline driven environment.

  • Strong written communication skills.

  • Must have strong command of the written English language.


  • Knowledge of federal regulations governing pharmaceutical advertising, and AMA editorial styles and guidelines

  • Experience in proofreading prescription drug labeling

  • Familiarity with labeling related regulations and industry practice

  • Fluency in Spanish and/or French

  • Knowledge of medical/pharmaceutical terminology, basic anatomy, or other science

  • Knowledge of federal regulations governing pharmaceutical labeling and AMA editorial styles and guidelines
