Temporary HR Shared Services Representative

Job Description

General Function:

  • Answer and log all inbound inquiries concerning a wide range of employee related questions and issues; process and/or administer many employment and HR related transactions pre-employment screening, leave administration, on boarding, new hires/terminations, status changes, and employment verifications requested by third party.
  • Create and deliver standard and ad hoc reports. Administer all benefit programs for new hires and current employees.
  • Partner with vendors to resolve complex benefits issues and administer leave process.
  •  Advises associates on benefit policies, eligibility, premiums, amounts of coverage, and claims procedures. Manage data from a wide variety of systems, track progress of the employment process, and perform various administrative tasks in support of the Human Resources department.

Essential Duties & Responsibilities:

  • Respond to inquiries from employees and managers at all levels of the organization and assist with any inquiry or problem resolution concerning a wide range of Human Resources policies, programs, systems, and payroll.
  • Perform welcome orientations via the telephone to all remote new hires and administer access codes, review password policy, verify I9 compliance, and provide an overview of new hire resources.
  • Track and log inquiries in the Access Shared Services database for reporting.
  • Take the prescribed steps of action to address issues and/or escalate complex issues to HR Services Supervisor.
  • Take the prescribed steps to review, clear or deny employment following outlined employment screening criteria; ensuring all documentation and appropriate notifications are submitted to Hiring Manager and applicant according to FCRA guidelines.
  • Review and enter terminations, new hires, rehires, status changes, direct deposit, deductions, and accruals via the payroll system adhering to all state laws.
  • Review, approve or deny all qualifying event changes via the on line enrollment system. Partner with vendors to resolve issues that have been identified with the online enrollment process.
  • Research and resolve late enrollments and other complex benefits issue; serving as the liaison to the benefit vendors.
  • Monitor and process evidence of insurability as required for Life Insurance, calculate retroactive premium amounts owed to employees or the company for premiums missed due to leaves, terminations, or late enrollments.
  • Review files, records and other documents in order to verify completeness and accuracy as well as to obtain information to respond to request.
  • Creates and maintains electronic Personnel files, Workers Compensation files, and Benefit files via multiple systems (Alchemy, Fortress Web, 4mybenefits, and Taleo) and monitor file retention according to the DOL, ERRISSA, IRS, Workers Compensation laws.
  • Partners with FMLA Source to monitor leave administration process; following through on Exhausted or denied leaves that have exceeded the 7 day grace period with no action; supports HRBP’s in creating and mailing FMLA termination letters.
  • Manage WOTC and Hire Act Tax Credit compliance for all new hires.
  • Liaison for Hunter Consulting & Liberty Mutual; responds daily to time sensitive unemployment and workers compensation claims ensuring that all required supporting documentation and relevant policies are provided.
  • Generate and distribute Human Resources related ad hoc and standard reports such as: new hire  & termination reports, headcount reports, Vacation & Birth Day reports, Exit Interview data, turnover, etc.
  • Maintains and advises on various Human Resources systems (Taleo, 4mybenefits, Success Factors, ESS, Payforce, Alchemy, Fortress, Hierarchy, etc).
  •  Launches the Provisional Review forms for promotions and transfers within the field organization.
  • Participate in several annual projects including Open Enrollment, Annual Background Check Audit, Bi-Annual Social Security Audit, Records Retention Audit, and new program roll outs.
  • Participate in system testing for any new HR systems or upgrades.
  • Attends ad hoc department and organization meetings.
  • System Administrators for ADP Netsecure and Employee Self Service.
  • Sort and deliver department mail

Supervisory Responsibilities: Does not supervisor other employees

Skills Description

•3-5 years HR/Benefits administration

•Strong administrative and organizational abilities
•Strong math and analytical ability
•Background in ADP Reporting or Crystal Reports desired
•Strong ability to multi-task and maintain a high level of accuracy
•Strong problem resolution and critical thinking skills
•Excellent time management and aptitude for continuous learning
•Proficient to Advanced Microsoft Excel skills
•Experience working with confidential data
•Basic knowledge of office equipment to include high efficiency scanners, shipping, and laminating equipment.

Working Conditions:
•Normal office environment
•Extended viewing of computer screens
•Availability to work 8 a.m. to Monday through Friday
•Ability to stand for extended periods of time for scanning and copying projects
•Lifting 20-30 lbs
