REPORTS TO: Site Manager

CATEGORY: Operations
CLASSIFICATION: Non-exempt

POSITION SUMMARY:

The Receptionist is responsible for answering incoming calls via a multi-line phone system, directing calls to appropriate team members, mail distribution, and flow of correspondence, requisition of supplies as well as additional general computer and office work.




ESSENTIAL DUTIES
AND RESPONSIBILITIES: (includes the following; other duties may be assigned)

  • Greet and direct visitors and/or students.
  • Work on special projects as needed (i.e. mailings, compiling of materials, etc.).
  • Answer telephones and direct the caller to the appropriate team member.  Transfer caller to voice mailbox when the team member is unavailable.
  • Take and retrieve messages for all staff members.
  • Provide callers with information such as company address, directions to the company location, company fax numbers, company website, and more.
  • Accept deliveries.
  • Receive, sort, and distribute incoming mail.
  • Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.) and maintain required shipping supplies.
  • Assist in the ordering, receiving, stocking and distributing office supplies.
  • Schedule and maintain cleanliness of conference rooms.
  • Maintain cleanliness of break rooms and prepare coffee/snacks throughout the day.
  • Assist with other related clerical duties such as photocopying, faxing, filing and collating.


KNOWLEDGE AND ABILITIES:

  • Excellent verbal and written communication skills and exceptional interpersonal communication skills
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments
  • Ability to work collaboratively with other administrative team associates
  • Punctual and dependable with strong work ethic
  • Basic computer and typing skills; skilled in Microsoft Office a plus
  • Ability to multitask
  • Strong customer service skills
  • Must possess proper phone etiquette, and maintain a pleasant, friendly and professional demeanor

Job Requirements

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent (GED) required
  • 6 months to 1 year of relevant experience and/or training or equivalent combination of education and experience



WORKING CONDITIONS:

  • Required to sit for long periods of time and frequent use of hands and fingers, to handle and feel
  • Moderate activity, with occasional bending and stooping, standing and/or walking for extended periods
  • Speaking and hearing: ability to comprehend normal speech
  • Seeing and visual capability: ability to see screens, monitors, and environment
  • Works inside, closely with others
  • Generally works regular work hours, occasionally works after hours
  • Noise level in the work environment is usually moderate to noisy
