Job Description

Leading wholesale/production company seeks upbeat and polished switchboard/receptionist associate.

SWITCHBOARD/RECEPTIONIST

Perform day-to-day switchboard/receptionist duties at our corporate facility. Responsibilities include mail services, reception area maintenance and switchboard services. Provide timely, efficient and courteous internal and external customer support. Perform special projects as needed.

PRIMARY DUTIES AND RESPONSIBILITIES:

Perform day-to-day mail and switchboard services. May work primarily for one area with cross training in the other, or may perform both functional areas on an on-going basis.

Receive, collect, sort, process, and deliver interoffice mail, USPS mail, FedEx and other carrier letters.

Trouble-shoot problems with office equipment near the reception area.

Maintain a clean, orderly area and comply with established safety policies, departmental procedures.

Order office supplies and keep inventory of stock.

Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

Operate Corporate Headquarters phone answering system, identifying and directing phone calls daily company-wide.

Update and maintain an internal telephone directory reflecting daily moves, adds and changes.  Assist, create, and maintain SOPs for all telephone call destinations, which includes monitoring new hires, terminations and business area changes.

Perform special mailings and/or projects as needed. Assist Manager with special projects as needed. Assist in identifying process and quality improvements. Maintain full knowledge of emergency procedures for evacuating building.  Perform other duties as assigned.

MINIMUM QUALIFICATIONS:

EDUCATION: Minimum High school diploma or equivalent, prefer Associates degree.

EXPERIENCE:  Up to 2 years related experience. Customer service experience required.  Perform day-to-day mail and/or switchboard services.  Able to work under minimal supervision.  Consult with senior peers on non-complex projects to learn through experience. Solves problems as part of a team and assumes responsibility as appropriate. Basic Microsoft Office skills with moderate level of proficiency. Minimum 2-5 years of previous related experience.

REQUIRED SKILLS AND ABILITIES: Excellent customer service skills. Strong communication skills. Ability to communicate effectively to all levels of the organization and to customers. Excellent telephone presence as needed. Ability to prioritize work and handle multiple tasks simultaneously. Ability to be punctual as the switchboard needs to be staffed from 8-5. Ability to handle pressure. Ability to work independently and in a team environment. Ability to coordinate, communicate and/or problem solve with others to ensure a smooth workflow. Basic computer skills. Basic technical aptitude (i.e. switchboard console and/or mail and photocopy machines) Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to apply concepts of basic math. Ability to assist/write routine reports and correspondence.

The Receptionist will be a highly motivated, personable, self-starting individual who can successfully provide support to all levels of the organization and act as the face of a high traffic office. The Receptionist will be responsible for all aspects of daily clerical and organizational tasks. The Receptionist will greet visitors; answer incoming calls; schedule information; coordinate the appearance of the reception area; support the staff, outside callers, and visitors; and other administrative tasks as necessary.
