Position Summary

The Executive Assistant will perform administrative functions for the Chief Retail Officer. Responsibilities will include coordinating meetings, preparation of minutes, correspondence and reports. Duties will also include screening telephone calls, creating spreadsheets and presentations, and filing. Strong communication and effective interpersonal skills a must. Additional duties include; extensive software skills, Internet research abilities and proficiency in MS word, power point, excel and outlook.


Essential Functions

Organize and maintain file and records

Provide general administrative support including but not limited to: phones, distributing mail,

Create meeting agendas, notifications, and follow up items

Maintain the security of confidential information

Composing, designing and editing correspondence and reports

Maintain and create weekly and monthly reports

Discuss with clients and providers occasional operational problem and ability to develop internal relationship to help troubleshoot

Interact with customers, senior-level executives, and all other levels of employees

Provide administrative support to the department on occasion

Manage and maintain executive schedules, including travel schedules, conferences and outside appointments

Prepare reports, collect & analyze data to prepare presentations

●  Strict attention to details and thoroughness in the completion of job duties

●  Developing constructive and cooperative relationships with others.

●  Knowledge of Microsoft Office software applications (Word, Excel, Outlook, Powerpoint)

●  Effective Problem Solving Skills

●  Good Organization Skills

●  Good Time Management Skills


Qualifications

●  2+ years’ administrative support experience at an executive level

●  Advanced MS Office Suit


Education and Experience

College degree preferred, experience considered in lieu of degree

Licenses and Certifications

Knowledge, Skills, and Abilities

Knowledge of administrative and clerical procedures and systems such as word processing, managing data, files, and records, designing forms, and other office procedures.

Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

Excellent oral and written communication skills.

Excellent computer skills in a Microsoft Windows environment including proficiency in Word and Excel.

Ability to collaborate and relate well to all kinds of people, build appropriate rapport and constructive, effective relationships, and use tact and diplomacy to handle situations comfortably.

Ability to calculate figures and amounts such as discounts, interest, commissions, and percentages.

Ability to effectively present information and respond to inquiries from senior management, vendors, and the general public.

Ability to write reports and business correspondence.

Ability to speak and write clearly in order to effectively convey information so that others understand and as appropriate for the needs of the audience.

Ability to apply common sense understanding to carry out written and oral instructions.


Physical Requirements

●  Ability to sit for long periods of time up to 90% of work hours.

●  Ability to use hands to grasp, handle or feel.

●  Ability to use computer keyboard and system to enter data and process information.

●  Ability to read a computer screen at a close distance.

●  Ability to read, talk clearly so that others understand, hear, comprehend the written and spoken word, and see.

●  Ability to use telephone to communicate with others.

●  Ability to use office equipment such as teller scanner, personal computer, telephone, mobile device, copier, etc.



Working Conditions


●  Moderate sound as in business office with office machines, computers, and people traffic.

●  Open floor work environment.
