Job Description

The Legend Group, a Lincoln Investment company is seeking a professional and experienced Receptionist to join their dynamic team for their office located near Buffalo, NY.

Basic Function:  Provide clerical support and phone coverage to the Buffalo branch office.


A. Phones

      1.   Answer all incoming phone calls at the receptionist desk and transfer to proper extension or voice  mail. 

      2.   Take messages/Forward to appropriate person.

      3.   Forward voicemail messages from night service accordingly.

      4.   Train new staff members on the telephone system.

B. Greet clients.

C. Schedule conference rooms for Financial Advisors for appointments on Microsoft Outlook Calendar.

D. Handle all front desk sales calls/solicitations.

E. Log all branch paperwork on Daily Mail Transmittal and forward to the corporate office.

F. Provide clerical support back up to Lincoln financial advisors who do not have support staff when on vacation or out of the office, ex. mailing forms & processing checks.

G. Notify financial advisors (who do not have support staff) via voicemail of mail that is delivered for them to the branch office, places the mail in the individual locked mailboxes, and lock any incoming checks in the secure room then follow-up with financial advisors on outstanding paperwork when necessary.

H.  Assists Branch Administrator with filling in for the Office Assistant in her absence.  Also assists Branch Administrator in other Branch Office tasks. 

I.  Assists Branch Support Staff with projects when phone activity is minimal.

J.  Provide support for Office Projects - Seminars, Presentations, Copying and Binder Creation

K. Ordering & stocking all office supplies.

L. Opening and distributing daily mail.

M. Other duties as assigned.

Job Requirements


  • Clerical experience

  • Experience operating a multi-lined switchboard

  • Customer service experience.

  • One to two years of office experience

  • High School Diploma


  • Oral and written Communication
  • Customer oriented

  • Working knowledge of Microsoft Office including, but not limited to, Word, Excel and Outlook
