Job Description

Position Summary
Coordinates and performs administrative support and/or specialized tasks pertaining to department’s functions.

Required Knowledge, Skills & Abilities
Ability to coordinate employees and office activities. Requires the ability to utilize a personal computer for word processing and/or other functions. Ability to interpret and apply administrative and department policies, regulations and rules; understand and follow complex oral and written instructions; compose correspondence independently, keep complex records, and prepare reports. Ability to interact with a wide range of DCCCD staff, students, faculty, and external agency representatives from diverse backgrounds. Proven knowledge and experience providing effective customer service.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is occasionally required to stand, walk, sit, push, lift, dig, haul, pull, reach, carry, grasp, squat or stoop, bend and twist the body while performing essential duties, use hands to finger, handle or feel objects, tools or controls, reach with hands and arms, climb stairs, talk or hear. The employee must have the ability to occasionally lift and/or move up to 50 pounds. Specific vision abilities required by the job include ability to distinguish the nature of objects by using the eye.

Essential Duties and Responsibilities

This position is for the School of the Arts Division.  This position will involve the following: Maintain a rehearsal room schedule for Music students and faculty.  Assist department chairs in both Music and Humanities with annual class schedule builds. Assist department chairs and the Director of Social Media with all marketing and promotional information. Oversee faculty compliance with the HB2504 mandate. Will generate all requisitions and assist department chairs in the supervision of the annual departmental budget and assist the department chairs in the scheduling and production of all Music and Humanities student and professional performances.

Prepares work schedules for employees of the department/division/office and assures proper coverage of the departments critical functions, such as, but not limited to, reception, mail, student services, student intake process, special events, verifies student residency, and supervises admissions entrance checking, etc. Responsible for complex and confidential projects requiring initiative and attention to detail. Maintains inventory and orders office supplies, equipment, and services. Provides orientation and/or training in specific office procedures and policies, and/or processes. May recommend training/development, new assignments, and problem resolution. Sorts and prioritizes incoming mail; composes correspondence and memos; responds to inquiries regarding policy and procedure interpretation; maintains appointment schedules; prepares leave forms and other human resources forms; purchase orders; makes travel arrangements; and coordinates supervisor’s calendar. Provides answers to requests for information to students, community, staff and faculty, which require intermediate knowledge of the District. Assists supervisor in a variety of bookkeeping functions related to budget development and monitoring, account reconciliation and purchasing. Generates and maintains reports related to departmental services and/or functions; develops and maintains database used in preparing various reports for internal and external reporting; maintains student records; researches, analyzes, and summarizes data from files/records. Performs other duties as assigned.

Job Requirements

Minimum Knowledge and Experience
Associate’s degree PLUS 2 years of experience in an office environment OR graduation from high school or equivalent PLUS 4 years of experience in an office environment. Must have 2 years of Customer Service experience.
