The role of the Media and Traffic Coordinator is to work with other members of the Marketing team with the planning, preparation, and implementation of marketing and media plans across all business lines. Acts as liaison between advertising/media agencies, internal creative/production team, and external vendors, to ensure accurate exchange of all relevant information; facilitates workflow and project traffic using agency workflow system; tracks business line media authorizations, invoices and budgets; maintains business line records; fields incoming phone and mail inquiries and provides administrative support to Marketing department as needed.

• Maintains hard and soft records of media authorizations and associated paperwork
• Tracks authorizations and media budgets
• Reconciles media invoices against authorizations in system
• Fields unsolicited media rep sales calls, vets new opportunities and provides recommendation to Media Manager
• Coordinates signatures and internal approvals for new media buys and liaises with media agency/publication

Project Coordination with Specialists from multiple Business Lines
• Electronic Signs: Requests content from Marketing Specialists, trafficking, and updating messaging on a monthly basis
• eUpdate: Requests content from Marketing Specialists, trafficking, and collecting edits and providing feedback to email team
• On-Hold: Requests content from Marketing Specialists, trafficking, and collecting messaging and providing order to outside vendor, monitors for accuracy
• Digital Assets: Creates bi-monthly and monthly reminders, providing visibility of scheduling calendars, helps communicate between Specialists and digital pub team and email team

• Coordinates day-to-day activities for account service group, and traffics projects to ensure that deadlines are met with online traffic management software.
• Maintains and provides monthly asset schedule for Marketing team
• Maintains visibility of project deadlines to ensure they are met, alerting Marketing Specialists and Managers to potential issues before they occur.
• Coordinates monthly Marketing department meeting with Director, taking notes and distributing information as needed

Department Operations
• Responds to and provides proper dispensation of client/vendor phone and mail inquiries
• Sources and procures any necessary supplies for events, department
• Produces and routes purchase requisitions (DPRs) and maintains purchasing records
• Maintains department vacation calendar and is aware of all internal meeting and out-of-office schedules; provides “first responder” back-up to absent personnel
• May provide assistance in the creation of meeting agendas, contact reports and client presentations.
• Provides general administrative support, as needed, to Marketing Managers and Director


• Need to build professional relationships with varying levels, within and across business lines.
• Managing multiple priorities while setting expectations with clients and internal staff.
• Must be flexible and adaptable, since advertising needs change frequently.


Bachelors degree in Marketing, Advertising, Communications or related field or 7-9 years of relevant experience.
2-3 years traffic or account service experience at an advertising agency or internal marketing department is desirable

Job Requirements

In the Media section:
Media report building: Create monthly reports/presentations for Business Lines with direction from Media Manager that layout media performance, media calendar, creative assets & insights.

Creative Asset management: work with Media Manager and Agencies to traffic and archive all creative assets for all business line media campaigns. Keep files on current media in market at all times.
