Job Description

Tokio Marine HCC-Professional Lines Group, a member of the Tokio Marine HCC group of companies, has an exciting opportunity for a Receptionist in our Mount Kisco, NY office.



Position Title: Receptionist

Position Summary:

Under immediate supervision, welcome visitors and announce arrival to appropriate persons, operate multiline telephone system to answer incoming calls and direct callers to appropriate personnel. Also performs a variety of primarily routine tasks associated with the processing of new and renewal insurance policies and maintenance of records. Incumbents in this position provide underwriting support in single or multiple areas coverage.



Responsibilities:

Relying on standardized instructions and pre-established guidelines, the Receptionist is responsible for accomplishing the following as guided by others. These assignments are routine in nature.

  • Retrieve messages from voice mail and forward to appropriate personnel.
  • Answer incoming telephone calls; determine purpose of callers, and forward calls to appropriate personnel or department.
  • Take and deliver messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Answer questions about organization and provide callers with address, directions, and other information.
  • Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
  • Monitor visitor access and issue passes when required.
  • May update appointment calendars or track office personnel attendance to manage personnel requests throughout the day and to advise staff of personnel whereabouts.
  • Receive, sort, and route mail.
  • Maintain fax machines, assist users, send faxes, and retrieve and route incoming faxes.
  • Distribute incoming packages by sorting and putting into mailboxes, as needed. Send out mail via regular mail, overnight delivery, etc. as directed.
  • Create and print fax cover sheets, memos, correspondence, reports, and other documents when necessary.
  • Perform other clerical duties as needed, such as filing, photocopying, and collating.
  • Assist in the underwriting process by performing various departmental tasks such as setting up files, performing data entry, scanning documents, preparing policies for distribution, and assembling product information materials.
  • May act a back-up support for building related issues

Requirements:

Education and Experience

  • Associates degree
  • Up to two years of relevant experience
  • Possess and have ability to apply basic knowledge of principles, practices, and procedures
  • Excellent written and verbal communication skills with an emphasis on confidentiality, tact, and diplomacy
  • Exceptional organizational and analytical skills; demonstrated ability to manage multiple tasks simultaneously
  • Proficiency and experience using Microsoft Office Package (Excel, Access, PowerPoint, Word)



Position Knowledge, Skills, and Requirements:



Experience

  • Minimum of two years of relevant and progressive experience as a receptionist



Other

  • Possess and have ability to apply basic knowledge of principles, practices, and procedures
  • Good written and verbal communication skills with an emphasis on confidentiality, tact, and diplomacy
  • Good organizational and analytical skills; demonstrated ability to manage multiple tasks simultaneously
  • Intermediate proficiency and experience using Microsoft Office Package (Excel, Access, PowerPoint, Word)



Working Conditions and Physical Demands:

  • Overtime hours may be required to fulfill job responsibilities
  • May require travel outside normal work location
  • May require a valid driver's license
  • May be required to stoop, bend, or sit for extended periods of time
  • May be required to lift up to 10 pounds
  • Dexterity of hands and fingers to operate a computer keyboard, mouse, and other devices
  • Close vision and ability to adjust focus; required to read a computer screen
