Job Description

Our client, a top international Pharmaceutical/Healthcare firm, is currently seeking a Business Operations Manager for a 6 month contract position with the opportunity for an extension.  The position is located in East Hanover, NY.

The hours for this position are as follows




  • Monday to Friday 8:00am-5:00pm



Your responsibilities will include (but not limited to):
 
Responsible for the overall communication strategy of BEO (Business Excellence and Operations) including the oversight and maintenance of the various BEO communication channels across the different excellence areas.  Drive the strategic operations and communications in a highly evolving team, develop knowledge sharing and communication platform across the team and to key stakeholders. Create and drive selected strategic projects as well as high profile leadership programs within the organization, across the franchises, regions and countries. Provide framework and processes to ensure that deliverables are executed in a timely, appropriate and cost-effective way.  Deputize as needed for Global Head in key meetings and governance bodies. Management of the back office of BEO, including budget management.
MAJOR ACCOUNTABILITIES




  • Co-lead with Head BEO the development of the BEO organizational design and drive the change management strategy and culture within the organization (incl. organization and implementation of HPTs).

  • Develop and drive the overall communication strategy within BEO. Ensure all associates (Global, regional, and global) are aware of status of key initiatives.

  • Act as project leader/manager for critical high profile projects, including the administration, design and roll out of leadership projects.

  • Support all projects in communication aspects and coach the project leads in their communication strategies

  • Ensure that various communication channels of BEO are in line with the overall communication strategy. Accountable for the content, update of the BEO intranet and the cohesiveness of all adjoining pages/sub-sites related to the different excellence, eg marketing, sales,etc..

  • Establish clear processes for tracking and managing the group budget and support resources. Overall expense consolidation vs budget, with regular monthly LO calculation/forecasting

  • Establish processes for sharing best practice, in collaboration with marketing, sales, and digital within and outside the group and monitor progress.

  • Manage information requests from senior management, and establish clear systems for interactive communication between all key stakeholders.  

  • Organize regular BEO, Franchise and Regional Leadership team meetings and specific review meetings for key strategies and initiatives facilitating on going milestone achievement and progression

  • Prepare group meetings, including agenda-setting, preparation of presentations and taking minutes (when necessary).  Organize an integrated calendar of events and activities within BEO

  • Liaison with Regions & CPOs on group issues, securing and building relationships with key partners.

  • Co-Leadership of the overall budget management in sync with the BEO head and finance. Management of associate responsible for PO entry, administration, and reconciliation.

  • Work across the matrix liaising with GMVA leadership/functions, Regions as needed and provide high quality and timely briefings for senior management

  • Define and drive key initiatives to build group capabilities

  • Be the “source of knowledge” and routine first point of contact for all queries.



KEY PERFORMANCE INDICATORS / MEASURES OF SUCCESS




  • Delivery of strategic projects as planned.

  • Proper management of the budget/LO with clear productivity savings; Establish clear budgeting procedures

  • Drive key capability-building initiatives to successful completion

  • Proper management of critical meetings/agendas and minutes/actions

  • Clear communication strategy with regular maintenance of critical channels, including intranet.



QUALIFICATIONS:
Bachelor’s degree (Science/Business or Medical Degree preferred) with at least 5 years in Pharmaceutical Industry. MBA (Science/Business) preferred.  Background in project management or consulting.  Broad understanding of drug research, development, marketing, communication, finance/economics with good understanding of internal processes, structures, Global/Regional/Local interface.  Experience in holding and managing budgets.
