The Group Sales Administrator is responsible for regional sales office administrative duties. They coordinate details between clients, sales office, and center employees to ensure client satisfaction. They also create and maintain reporting for execution and completion of group events.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Primary duties and responsibilities include, but are not limited to the following.
· Answers Sales Office phone and assists prospects with group event inquiries. Routes prospects via phone or the internet to the correct sales agent.
· Maintains prospect records and records of event inquiries in GroupSmart.
· Maintains regular reporting for the Sales office and the center (including revenue reporting).
· Prepares 14-day group event forecasts and distributes to each district. Prepares missing receipt report and follows-up to ensure compliance.
· Maintains inventory of all group sales materials and supplies. Organizes and maintains drafts of sales kits and correspondence for distribution to clients.
· Assists with collecting and processing deposits for group events.
· Creates and maintains lane reservation maps.
· Follows up with AMF centers regarding event details. Works with operations to ensure successful events.
· At the direction of the Sales Manager, completes group event agreements, compiles and organizes prospective customer leads, and assists in maintaining database of customers.
· Generates drafts of customer letters and proposals for manager and representative review.
· Ability to work varying shifts, weekends and holidays, as well as, extended workdays to support business needs.
· Other duties may be assigned.
The Sales Administrator should possess a highly developed sense of customer service and interpersonal skills including high integrity, respect for all individuals (customers, vendors, and employees), solid communication skills, strong critical and analytical thinking skills, and appreciation of diversity (thought, ethnic, gender, etc.).
The Sales Administrator should possess exceptional oral and written communication and organization skills.
EDUCATION AND/OR EXPERIENCE: High School Diploma and two years of administrative experience preferred. Proficiency with MS Office Suite and database software preferred. Relevant experience or equivalent combination of education and experience is also acceptable.

The employee frequently is required to stand; walk; use hands to finger, handle, or feel; and reach with hands and arms. The employee must occasionally lift and/or move up to 50 pounds.
