 Administrative Assistant

Administrative Resource Options, Inc. (ARO) is a growing national outsourcing firm specializing in office services management. We have a presence in over 27 States and are among the leaders in the facilities management industry. We have an immediate opening for a full time Admin Asst. in New York, NY.

** All candidates MUST pass a 7-year background check and drug test **
  
We are looking for candidates that have Big 4 type experience – E&Y, Deloitte, PWC, KPMG.  This type of person will have the billing experience that we require.

Responsibilities include:
  • Provides general administrative support (type correspondence, answer telephone, schedule appointments, open mail, copying, faxing) for client serving partners.
  • Use Excel, PowerPoint and MS Word extensively to prepare professional documents including letters, memos, proposals, presentations, spreadsheets and billing statements.
  • Create and work with complex Excel spreadsheets for financial billings, billing analysis tracking and moderate level financial analysis.
  • Handle complex client billing through CMS system in a timely matter; able to meet tight billing deadlines, sometimes on short notice. Understand internal financial coding structure.
  • Plan and set up meetings and teleconferences, internally and externally.
  • Plan and coordinate special events.
  • Interact with corporate travel group to coordinate travel arrangements and prepare itineraries
  • Maintain electronic calendars for partners.
  • Understand the firm’s service lines, industries and client engagement structure in order to work effectively with all levels of employees and clients.
  • Communicate effectively and professionally with senior level executives, internal & external & high profile clients, CFO’s, CEO’s, etc.
  • Adhere to the highest degree of professional standards and strict confidentiality in matters that require discretion.
  • Attend professional development and training sessions on a regular basis.
  • Perform other job-related duties as necessary, sometimes on short notice.

 

  

Job Specifications :

  

Must have excellent Communication and Customer Service skills. The candidate must be dependable, enthusiastic, punctual, and organized. We want a self-directed team player that shows self-initiative with an outgoing personality.

Required Skills:

-

  • Administrative support experience in a corporate or professional services environment with a moderate level accounting or financial knowledge required.

  • Previous experience as an Tax Executive Assistant

     

  • Advanced skill level Microsoft applications including Word, Excel, and PowerPoint.

  • Must have experience supporting multiple executives, Partners, and managers.
  • Excellent verbal and written communication skills.
  • Excellent customer service skills.
  • Ability to prioritize multiple assignments.
  • Treats sensitive / confidential information with appropriate discretion.
  • Strong attention to detail.
  • Ability to take initiative, self directed and results-oriented.
  • Work well under pressure; adhere to deadlines.
  • Flexible team player.
  • Ability to work additional hours as needed; sometimes on short notice.  

      

      

  • Tax collating experience is preferred

  

  

  

  

Desired Skills:

  • College degree preferred but not required.
