Description AQUENT is looking for a talented Office Manager to join our team! We are looking for someone with great skills, a great personality, and someone who loves the marketing and creative industry! The Office Manager has the unique position of influencing a market's success through systems and operations, as well as fanatical customer service and superior problem-solving. The Office Manager oversees all internal office processes, assist the Operations Manager with Payroll, ensures legal compliance for all hired talent and consultants, and monitors accounts payable and receivable. As the initial contact point with Aquent, exceptional customer service is of the utmost importance for an office manager--he or she is responsible for the tone for all future interactions with talent and clients.

Requirements Primary Responsibilities:

• Create and manage a process for ensuring that all contractually required background checks for assigned accounts are completed and documented appropriately.

• Assist with weekly, monthly and quarterly reporting, for assigned major accounts and perform flawless Quality Assurance on all orders filled on a weekly basis, coordinating with multiple markets around North America.

• Front desk & phone support (handling talent & client requests including benefits, invoicing, timecard questions and worker’s comp claims).

• Handle accounts payable function to ensure timely payment of local expenses, working with A/P team in Boston.

• Perform monthly EEOC compliance review for internal interviews and hires with Operations Manager. Deactivate Talent on a weekly basis to ensure proper COBRA notification.

• Order office supplies from approved vendor as needed and perform duties for new hire set up including but not limited to, phone setup, computer setup, ordering business cards, using the New Hire Checklist.

• Assist the Operations Manager with Payroll on a weekly basis and serve as secondary backup when needed.

• Troubleshoot technical issues on Skill Assessment machines, working with EIS department to resolve issues. Perform regular maintenance and backup of all machines on a monthly basis. Working with EIS team, assist internal staff in resolution of technical issues.

• Provide additional support as needed on a timely and consistent basis, including but not limited to filing, office appearance, serving as interface with onsite realty company to resolve office issues, work with internal staff to resolve client/talent issues on an ad hoc basis, etc.


Goals and Performance metrics:

• Full compliance with assigned contractual background check requirements.

• Maintain high levels of customer satisfaction based on results of semi-annual survey.


Critical Competencies:

1. 3+ years administrative business experience
2. College degree preferred
3. Extreme attention to detail, and strong organization skills.
4. Strong Microsoft Office skills
5. Excellent written and verbal communication skills
6. Customer service fanatic
7. Proven ability to solve problems, make decisions, and resolve conflicts
8. Self motivated and takes initiative
9. Flexible and embraces change
10. Experience managing multiple priorities
