Description
The position of Data Coordinator/Transportation provides data and support functions for the management of information for five Villa Treatment departments. Responsibilities include: transportation coordination, IEP tracking, data entry, preparing monthly attendance reports/grade reports, clients record management, typing filing, answering the telephone, and other office duties. This position will serve as a back up billing auditor during peak and coverage needs. Duties include:
· Keeping initial admission packets up to date for residential program and monthly chart reviews for completeness of documentation items.
· Ensure all office equipment, supplies, and program forms are maintained, stocked and available for staff. Maintaining master copy of all forms and updating as dictated by other departments.
· Responsible for copy and distribution of all clinical documents to appropriate staff, guardians, and outside agencies. This includes: IEP, MFE, report cards, standardized tests, critical incident reports, school conference materials and restraint incident forms. This may include mailing, faxing or copying internally to multiple personnel/individuals for one client.
· Enter and maintain critical database information. Enter multiple page incident reports monthly and fax to pertinent guardians, placing agencies. Also copy to appropriate personnel and maintaining master copy for our records.
· Facilitate transportation with Petermann bus for VDTP and Connections clients. This includes keeping all transportation companies updated during the year: change of address, change of custody, change of schools, transitions, etc.
· Provide monthly end of month financial report of program census and education. This report is provided for Clinical Director to use in supervision and for staff to review for accuracy.
Fax and/or mail monthly educational reports prepared by VDTP and PEAT staff to designated CPS personnel.
Requirements
This position requires the following:
· High school diploma and an adequate understanding of the social service/mental health field.
· Excellent organizational, communication, and typing skills are necessary as well as experience in the operation of personal computers including Microsoft Word, Windows, Excel and database management.
