Special Education Administrative Assistant

 

The primary function of this position is to ensure the smooth operation of the Special Education Department, and to assist Director of Special Education, Administrator, school Psychologist, Coordinators, and Special Education teachers in any manner possible.

 

This person will:

  • Handle all incoming telephone calls: screen, direct, and provide information appropriately regarding Special Education.
  • Process all incoming and outgoing mail/correspondence directed to the special education department
  • Deal with parents tactfully and with sensitivity, and recognize and maintain confidentiality in job-related matters
  • Maintain files up-to-date of all students in the Special Education
  • Program as for preparation for audit
  • Compile monthly a list of IEP’s and 3-Year Evaluation Reports due for the month, as well as initial evaluations by informing the related service coordinator, school psychologist, coordinators, and teachers
  • Ensure smooth operation for the enrollment process trying to obtain special education records for coming and current students
  • Assign students to a special education teacher and create class rosters so each teacher has an even number of kids in their caseloads

Job Purpose:

Provides support to the special education team through data entry, compliance tracking, and file management.

 

Duties:

Enrollment:

  • Documenting SPED Records in TV.
  • Date stamping all incoming records for new enrollees
  • Creating folders for incoming students
  • Updating pending list in SP
  • Calling SD for special cases to request SPED records
  • Scanning documents into TV
  • Answering SPED related phone calls from parents and other SDs

 

Data Entry:

  • Providing a daily update of Master Spreadsheet for SPED records received from teachers/Alison Potter or related service vendors
  • Sending daily updates to SPED team
  • Taking students from Master Sheet to withdrawn sheet
  • Completing PennData Reports
  • Keeping track of proper entry of compliancy dates in IEP writer

 

Documents:

  • Filing of incoming documents from teachers for current SPED students
  • Making folders for newly approved students
  • Moving withdrawn students to withdrawn cabinets
  • Removing students who have been withdrawn 2+ years from the withdrawn cabinets and moving them to filing cabinets in main file room
  • Scanning and sending withdrawn documents

 

Billing:

  • Scanning IEP forms for requested Students
  • Marking scanned documents on the Master Spreadsheet
  • Contributing to team effort by accomplishing related results as needed
Requirements
  • Able to handle a fast-paced environment and have the ability to multi-task
  • Excellent organization, time management, and communication skills
  • Proficient in word, excel, and outlook
  • Able to work well under pressure
  • Basic knowledge of Special Education terminology
  • Possesses at least an associate’s degree
  • Previous office experience preferred
