Description
This position will handle a wide range of administrative and executive support related tasks in support of the division, including coordination of business meetings as well as other key meetings and customer events (within an accounting setting). The ideal candidate must be able to work independently with little or no supervision and interact with internal staff (all levels) and customers/suppliers in a fast-paced environment, and must be resourceful and efficient while exercising professional judgment and confidentiality. Responsibilities Organizational Skills: Effective in planning, prioritizing, organizing and managing projects. This includes managing the VP’s calendar, arranging travel schedule and reservations, and maintaining current, well-organized files. Attention to detail and quality with exceptional follow-up skills required, along with ability to adapt to changing responsibilities.
Communication Skills: Answers phones and emails with a high degree of professionalism, independently responds to routine letters and general correspondence, and composes and prepares letters/memos/reports. Excellent communication skills required to deal effectively with all levels both internal and external. Extreme confidentiality in handling of highly confidential and sensitive information a must have.
Judgment/Problem Solving/Analysis: Must have initiative and the ability to work independently and exercise good judgment in anticipating needs and resolving issues without supervision, including handling of outside inquiries.
Customer Skills: Strong customer focus with flexibility and ability to work overtime as required. Must work professionally and with a sense of urgency in dealing with both internal & external customers.
Manage Office: Manage office needs such as daily mail and overnight packages, kitchen and office supplies along with stocking of same, postage machine, process invoices for Purchase Card, manage Meeting Planner Card, manage fleet vehicles. Qualifications -Ability to establish and maintain effective relationships with both internal and external customers
-Working knowledge of current policies, practices, trends and information affecting the business and organization
-Excellent written and oral communication skills
-Proficient computer skills including experience with Microsoft office products
Technical Skills: Must be proficient with most aspects of MS Office; most importantly MS Excel, MS Word and PowerPoint.
Minimum Experience required: 4+ years administrative background with experience supporting senior level management
Requirements
- Proficency with MS Office
- MUST have 2-3 years exp. working in an accounting department or supporting accounting personnel.
