Executive Assistant
Description of Executive Assistant:
General Summary:
Plans and coordinates Board and Senior Management meetings; prepares and maintains Board reports and minutes; disseminates sensitive Corporate information; oversees shareholder relations program; provides general administrative support for Executive Division, makes executive decisions to carry out responsibilities and duties.
Essential Functions:
- Assist the Chairman of the Board and the President in the performance of the duties of their job descriptions (see attached); maximize efficiency of meeting schedules
- Track and pay quarterly director’s fees
- Prepare monthly credit card expense statements
- Assist with travel arrangements
- Cross train in Operations as part of Illini Bank’s Business Continuity Plan
- Responsible for minutes of all board meetings, loan meetings and rate meetings
- Provide an efficient flow of customers, staff, shareholders, telecommunications and correspondence into and out of the offices of Chairman of the Board and President
- Assist the Chairman of the Board and the President in their ongoing relationships with the Board of Directors, customers, shareholders and the public
- Maintain official shareholder, board and committee meeting records
- Administer Bank Holding Company shareholder relations program
- Responsible for coordinating the preparation of Board and Committee meeting packages
- Maintain Corporate and Bank policies and procedures
- Perform other duties as assigned by the President and the Chairman of the Board
Working Conditions:
- Generally good, with little exposure to noise, extreme temperatures, dust or other adverse factors.
- A high amount of pressure to work efficiently and accurately.
- Considerable effort and eye strain from continued checking on the accuracy of all work leaving the Division.

Minimum Level of Preparation and Training:
- A level of knowledge normally acquired through completion of, at a minimum, some college or equivalent experience.
- Two to five years of progressively more responsible experience in administrative and/or executive type postion preferably in financial industry.
Skills and Abilities Required:
- Strong word processing, spelling, grammar and organizational skills.
- Strong work ethics
- Ability to keep bank matters confidential.
- Excellent attention to detail and ability to operate standard office equipment.
- Excellent written and oral communication skills.
- Have a full knowledge of all areas of the Bank and be fully knowledgeable about all Bank products and services.
