Description

We have an immediate opening in our Baltimore office for a top-notch Administrative Assistant.

 

This is an exciting full-time opportunity for an experienced Administrative Assistant.  This position will focus on supporting consulting staff and senior management.  Candidates must be detail oriented, focused, organized, and able to work independently and multi-task while prioritizing work load.   The Candidate must be Proficient in Microsoft Office products.  We are looking for someone who is energetic, pro-active, personable, who will take a professional approach to their work.  This individual must be a team player, with excellent customer service skills.  Overtime is required and may be unexpected at times.

 

Responsibilities:

  • Provide general administrative support for Executives

  • Make travel arrangements for Executives

  • Coordinate Executives’ calendars and check emails as appropriate

  • Prepare time and expense reports for Executives

  • Prepare correspondence, reports, presentations , and client deliverables

  • Schedule conference calls

  • Maintain Databases

  • Screen phone calls as appropriate and assist with switchboard as needed

  • Coordinate meeting preparations for Executives

  • Conduct basic subject matter searches over the internet

  • Receive, review and route incoming mail

  • Assist Office Manager with operational and facility tasks as needed

  • Others duties as assigned

Requirements
  • 5+ years experience as an Administrative Assistant supporting multiple people, ideally in a Professional Services or Consulting firm

  • Advanced knowledge of Microsoft Office products; Word, PowerPoint, and Excel.  MS Outlook  experience is a plus

  • Willingness to learn

  • Proactive attitude

  • Ability to work independently as well as part of a team

  • Strong attention to detail

  • Strong communication skills (verbal and written) including proofreading and editing 

  • Demonstrate excellent customer service with individuals at all levels both internal and external

  • Commitment to working collaboratively with other team members to maintain seamless coverage of department as needed

  • Associates Degree or work experience equivalent 

  • Able to work overtime on an as needed basis
