REPORTS TO:

  • Government Affairs Coordinator

 

 

BASIC DUTIES:

  • Administrative and secretarial support for two lobbyists on the Government Affairs Team, to be determined 

EDUCATION:

  • High School Diploma 

EXPERIENCE:

  • Five years in secretarial field in positions of increasing responsibility.

STATUS:

  • Non-Exempt

RESPONSIBILITIES:

Government Affairs Associate:

  • Perform all routine secretarial and administrative assistant responsibilities.
  • Work with lobbyists to coordinate activities of their committees.  Also work with them on assigned ELC meetings.
  • Provide back-up support to two assigned lobbyists when their primary support staff person is out of the office or their workload is exceedingly high.
  • Initiate routine correspondence.
  • Assist with special initiatives, which would include major projects, mass mailings, fax blasts, mass e-mail blasts as needed by lobbyists or the department.
  • Handle lobbyists’ information and reporting needs with Government News Network (GNN), tracking bills, research on bills, ELEC reporting.  Also, conduct Internet research on impact of bills, etc.
  • Maintain updates in membership database for assigned lobbyists, including contact information, adding new members to Committees or Networks, and assuring that all committee databases, e-mail lists, etc., are up to date.
  • Type, layout and file all Legislative, Regulatory, Issue and Congressional Briefs and Member Alerts. Type letters to Legislature, testimony, memo’s and briefs on key issues.
  • Update all Outlook contacts for assigned lobbyists.
  • Perform annual updates of contact information for assigned lobbyists’ Committees and Networks.
  • Interact with Marketing and Events staff on assorted projects and conferences.
  • Maintain lobbyists’ and own weekly calendar on Outlook.
  • Responsible for time sheets for self and assigned lobbyists.
Requirements Other:
  • Provide staff support for Government Affairs Department as required.
  • Respond to inquiries from Association members in a timely and professional manner.
  • Other duties as assigned by Senior Vice President and Government Affairs Coordinator.
  • In all contact with Association staff, members and the public, maintain friendly, helpful and courteous manner.
  • Keep Government Affairs Coordinator informed about work assignments.
  • Responsible for fiscal stability of Association through cost-efficient use of equipment/supplies and through adherence to financial policies.
  • Promote cooperative working relationships among members of Government Affairs Department and other Association departments.  In all contact with staff, members and the public, maintain friendly, helpful and courteous manner.
  • Begin work at 9:00 a.m. and end at 5:00 p.m.  One-hour lunch as arranged by Government Affairs Coordinator.  Regular and punctual attendance is required for this position.
  • Some overtime may be required during the Legislative Session and during other peak times.
  • New projects/responsibilities may be assigned at the discretion of the Government Affairs Coordinator and/or the Senior Vice President.
