This position will require an individual who has a "can do" attitude and the ability to multi-task and interact with senior level management and key customer relationships. They will play an instrumental role in supporting two sales and marketing executives with their day-to-day schedules and responsibilities. The Executive Assistant will project a professional company image through in-person and phone interaction along with managing their own work and projects.

Primary responsibilities include but will not be limited to:
The ideal individual will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This individual must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a fast-paced organization.
• Preparation of monthly budget, project and invoice reporting
• Responsible for heavy calendar management, requiring interaction with both internal and external contacts to coordinate a variety of appointments
• Prepare internal and external communications as required
• Coordinate travel arrangements, management and coordination of remote meetings, appointments and itineraries
• Answer phones representing the senior leadership team and direct incoming calls to the appropriate party promptly and efficiently
• Prepare presentation materials, marketing plans and other business development support as required
• Oversee and facilitate on-going ordering of office supplies via online Ariba
• Manage and order hardware/software as required
Requirements Required Qualifications:
• Bachelors' degree in Marketing, Communications or related field preferred
• 3-5 years experience of administrative support for senior level management
• Ability to interact with all levels of staff in a fast-paced environment while maintaining a high level of professionalism and confidentiality at all times
• Strong written/verbal communication and organizational skills
• Ability to multi-task and make quick decisions to resolve issues, working autonomously
• Proficiency in the MS platform (Word, PowerPoint, Excel, Outlook, Access, MSProject), preferably Office 2007
• Experience in Financial Services/Insurance industry is a plus
• Excellent attention to detail
• Possess enthusiasm about online marketing
• Ability to work flexible hours and overtime as required
