Job Description

  • Working under the direct supervision of the Associate General Counsel, (“Assigned Counsel”), the Administrative Assistant is responsible for providing administrative and secretarial support for the Assigned Counsel, including scheduling of meetings and conferences, handling travel arrangements, preparing correspondence in draft and final form as directed, maintaining correspondence files, and special project files.  Requires a thorough knowledge of all levels of Counsel’s areas of responsibility in order to anticipate workflow, gather data and prepare / answer correspondence or reports, organization of projects, and maintain legal filing system and tracking system for all Attorney Work Product and supporting documentation and special projects (as assigned).  Direct preparation of transmittal letters for documents, pleadings, and other legal papers.  Additionally provides support to other Legal Division staff members as requested. Education: High school diploma or equivalent required. Associates' degree in secretarial science, social sciences, business administration, or equivalent combination of education/experience preferred. Experience: Minimum of five years of prior legal secretarial experience required. Experience in healthcare setting desirable.

    Knowledge, Skills and Competencies:  Advanced proficiency in word processing and spreadsheet software including: PowerPoint, Word, Excel and Outlook.  Data management skills in Access a plus.  Ability to accurately proof and edit non-routine correspondence, reports, etc., draft routine correspondence and recurring reports, perform noncomplex mathematical calculations, and develop and maintain needed filing and record keeping systems.  Typing skills at 80+ wpm.  Ability to take and prepare accurate minutes of meetings, take notes as required during one-on-one interactions, in meetings, over the phone, etc.  Ability to produce professionally written documents.
